The Managed Way To Replace ClickSend

Two-way conversation that stays inside Zoho. Replies land on the record, and nothing about your customers leaves your own Zoho account: no vendor dashboard, no copy of your data, no phone home. Send one message or send to a whole list, and every reply lands back on the record in SMS History.

What makes it different

  • Nothing phones home
  • Two way, not one way
  • Your Twilio, your rates
  • Personalized at any volume
  • Every number, not just one
  • History follows the record

The short version

Where a managed service beats running ClickSend alone

ClickSend retired its SMS integration for Zoho CRM on 31 December 2025, and now points Zoho users at its own Automation Builder or at Sinch. Most texting tools for Zoho work the same way. You install a connector, and your customer data starts flowing out to somebody else’s platform so their application can send the message and hold the thread.

What the managed part actually means

Portal updates only reach the people who log in to read them, and the usual way to reach everybody else hands your contacts to an outside platform first. This extension inverts that arrangement: the message goes out of Zoho Projects, the reply lands back on the record in SMS History, and nothing is ever sent to us.

Nothing phones home

We hold no copy and run no dashboard on our side. There is nothing for us to lose in a breach and nothing for you to ask us to delete, because we were never holding it.

Two way, not one way

Portal updates only reach the people who log in to read them. This one captures the reply.

Your Twilio, your rates

You connect your own Twilio account, so message costs are billed to you at Twilio prices with nobody in the middle taking a cut.

Personalized at any volume

Dynamic text pulls values out of the record as each message is sent.

Who this comparison is for

Zoho admins running Projects alongside everything else

There is no second user list to keep in step as people join a project team, and no vendor portal whose password goes missing the next time somebody leaves.

Managers chasing the approval that gates a task

A task sits unstarted because one client contact has not signed off, and the reminder is somewhere in an inbox. Text them from the account you already have open.

Agencies confirming dates before a milestone slips

Schedule it for the day before the due date. Replies land on the account rather than in a shared inbox nobody owns.

How the Zoho Projects SMS integration works

Four steps, and none of them involve standing anything up. You install the extension from the Zoho Marketplace, connect your Twilio credentials, and start texting from a record.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

    Install from the Zoho Marketplace

Nothing is hosted anywhere else, no server needs provisioning, and the SMS History module appears in Zoho Projects ready to use.

  3. 3

    Connect your own Twilio account

Paste your Twilio credentials into the setup screen and pick the numbers you want to send from.

  4. 4

Text a record and watch the reply land

Select several records to send in bulk, or schedule it for later. Every reply is written back to SMS History against the person who sent it.

The difference that matters

No second account, no second system

Both options give you two-way texting on your Zoho Projects records, and on paper the feature lists look similar. The difference is architectural. ClickSend is a messaging platform you sign up for, and your conversations run through it. Ours is built in Deluge and runs inside your own Zoho account against your own Twilio credentials, so there is no ClickSend account to hold, no vendor dashboard to log into, and no copy of your customer data anywhere but Zoho.

If your objection to texting from Zoho Projects has ever been “who else ends up holding this data”, that is the question this answers.

How is Cascadia different from ClickSend?

The main difference is that nothing phones home to us. We hold no copy and run no dashboard on our side. There is nothing for us to lose in a breach and nothing for you to ask us to delete, because we were never holding it.

Does any of our data leave Zoho?

No. The extension is built in Deluge and runs inside your own Zoho account, using your own Twilio credentials. Message content stays in your SMS History module, and we have no access to it.

Is there a free trial?

Yes. The Zoho Marketplace listing offers a ten day free trial so you can install it, connect your Twilio account, and send real messages before committing to anything. Trials cannot be extended, so it is worth having your Twilio credentials ready before you start the clock on it.

What is this Zoho Projects SMS integration?

It is a Zoho Projects extension that lets you text your contacts and accounts using your own Twilio account. You can search for one client contact and send a single message, or select a group and send to all of them at once. Replies come back into the SMS History module against the record they belong to, so the whole conversation stays readable inside Zoho Projects.

How is this different from portal notifications and email updates?

Portal notifications only work when somebody logs in, and a client who replies by email lands somewhere nobody is watching. This extension sends a text and captures the reply against the record, and it lets you message a whole group at once rather than one person at a time. That makes SMS a channel a client can actually answer.

Do I need my own Twilio account?

Yes. You connect your own Twilio account and use your own numbers, so carrier charges are billed to you directly at Twilio rates rather than resold through us with a margin on top. It also means your message records sit in your Twilio console under your name, and you can change providers or numbers whenever you want.

Which records can I text from?

Contacts and accounts. You text the people on the record rather than a project or a task, which means the conversation belongs to the relationship rather than to one piece of work. That keeps the thread readable as projects start and finish over the life of the account.

Can I send a text to more than one contact at once?

Yes. Select the records you want and compose the message once. Everybody selected receives it, and each send is logged against that individual record rather than into one shared pile. That is the quickest way to tell every client contact about a schedule change without writing the same message ten times.

Where do replies show up?

In the SMS History module, as a new entry linked to the record that replied. You do not have to copy anything across or check a separate inbox. Because history is attached to the record itself, anyone who picks up that account later can read the full exchange without asking around for context.

Can you see my messages or my client records?

No. The extension has no phone home capability. It runs inside your Zoho environment and does not transmit your records, phone numbers, or message content to us. We hold no copy of any of it, and there is no vendor side dashboard collecting data in the background. This is the main structural difference between this extension and most alternatives.

Where does the extension actually run?

Entirely on the Zoho platform, written in Deluge. There is no embedded third party interface, no external web application, and no separate service your data has to travel through. Everything happens inside your own Zoho Projects deployment, which keeps the data boundary simple to explain to a security reviewer or an auditor.

Can I personalize messages with fields from a record?

Yes. Dynamic text pulls values straight out of Zoho Projects and drops them into the message body when it is sent. Contact name, project reference, or any other field on the record can be used. That means an update going out to fifty client contacts still reads as though it was written for each one individually.
