Managed Zoho Billing

Zoho Billing for Subscriptions, Invoicing and Payments

Zoho Billing can run every subscription, invoice, and renewal you have, once someone builds the plans, connects a gateway, and watches what fails. That part is a job.

With Cascadia you get

  • Someone watching your charges
  • Dunning tuned, not defaulted
  • Pricing that bills the way you sell
  • Tax handled before it bites
  • Your account, your customers
  • Fewer billing tickets to answer

Why teams choose our Zoho Billing service

Someone watching your charges

A gateway that stops authorizing does not announce itself. Charges simply start failing, and the shortfall turns up a month later in a revenue figure nobody questions.

Dunning tuned, not defaulted

Most failed payments are expired cards, not decisions to leave. Default retry schedules ignore that, so you lose customers who never meant to go anywhere.

Pricing that bills the way you sell

Tiered rates, usage charges, and mid-cycle upgrades are easy to design and hard to configure. We build your products, plans, price books, and proration rules so the invoice a customer receives matches what your sales team promised, including the awkward cases nobody thought through at the time.

Managed Zoho Billing compared with a one-off consultant

A consultant can configure your billing once. Keeping it correct as your pricing, your tax obligations, and your payment gateway all change is a different job, and it is the one that decides whether your invoices still reconcile a year from now.

What to compareHow Cascadia handles it
Changing how you chargeUnder a subscription, you describe the new plan and we build it.
Billing cut off from everything elseWe connect Zoho Billing to Books, CRM, and Inventory, so a closed deal becomes a subscription and a subscription becomes recorded revenue without anyone retyping it each month.
Inheriting a setup that is a messWe audit what exists, trace where invoices stop matching your accounting, and tell you honestly which parts are worth repairing and which should be rebuilt clean.
Who can issue a refundWe manage users, roles, and approvals so financial actions match responsibility, and every credit note leaves a trail somebody can follow later.
Growing into the rest of ZohoWe manage the wider Zoho ecosystem, so when your invoicing problem is really a CRM or Books problem, we say so, and we can tell you when the Zoho One bundle costs less than adding apps one at a time.
What it costs next monthA flat monthly rate makes the cost predictable and puts the incentive on us to keep your billing stable rather than to accumulate billable hours.

Who our managed Zoho Billing service fits best

Subscription and SaaS businesses

When revenue arrives monthly or annually from a plan, billing stops being admin and starts being the product working. We manage plans, trials, upgrades, dunning, and usage charges, so growth does not turn into a queue of invoicing exceptions somebody has to clear each week.

Get started

Businesses still invoicing by hand

Manual invoicing is slow, easy to get wrong, and it always slips in a busy month. We move recurring charges onto automated schedules driven by your plans, which frees whoever currently spends the first three days of every month raising the same invoices again.

Get started

Zoho One customers not using Billing yet

Zoho One includes Billing, and plenty of companies pay for it while still invoicing somewhere else. We set it up against the customers and products already sitting in your CRM and Books, so you collect revenue through a license you are funding either way.

Ready to get more out of Zoho Billing?

Whether you are starting from an empty Zoho Billing organization or inheriting one somebody else configured, the sequence is the same.

How our managed Zoho Billing service works

1. We map how you actually charge

We start with a consultation about your pricing: what the plans are, how upgrades and refunds get handled today, which taxes apply, and where the exceptions live. Then we check how cleanly that maps onto Zoho Billing.

Get started

2. We build the plans and test a cycle

We build your products, plans, and price books, connect your payment gateway, configure invoice templates and tax, then run a full billing cycle against test customers before a single real charge goes out. Billing that goes live unverified produces confident invoices that happen to be wrong, and those cost far more to unwind than to prevent.

Get started

3. We go live and keep it collecting

We migrate your active subscriptions, switch on the dunning and reminder sequences, and hand over access with permissions already sorted. From there it stays managed.

What is managed Zoho Billing?

Managed Zoho Billing is an ongoing subscription where we run your Zoho Billing environment for you. That covers plan and pricing setup, subscription changes, invoice and tax configuration, payment gateway connections, dunning and failed payment recovery, and recurring revenue reporting. Instead of assigning billing admin work to someone in finance who already has a job, you have a team inside your setup handling it month to month.

Do I still need my own Zoho Billing license?

Yes. You keep your own Zoho Billing subscription and own the account, the customer records, and every plan and invoice inside it. We work in your environment as an administrator. That matters if you ever change providers, because nothing sits behind our accounts and there is no data to negotiate for. We will also advise on which plan tier fits your subscription volume.

How is Zoho Billing different from Zoho Books?

Books is your accounting system. Billing is the subscription engine that decides who gets charged, how much, and when, then hands the resulting invoices and payments to accounting. Most companies running recurring revenue need both, connected. We manage that connection so a subscription change flows through to your books without anyone reentering it.

Can you migrate us from another billing platform?

Yes, and migrations are quoted separately from the monthly plan because the effort varies enormously. Moving from Chargebee, Recurly, Stripe Billing, or a homegrown system means recreating plans, importing customers and their subscription state, transferring payment tokens where the gateway allows, and reconciling the first cycle carefully. We will scope it honestly before you commit.

What happens when a customer payment fails?

Failed payments run through the dunning workflow we configure for you. That means a retry schedule timed to when cards typically get replaced, reminder emails that read like a business rather than a collections agency, and a grace period before service consequences. We monitor recovery rates and adjust the sequence, because most failed payments are expired cards rather than a decision to leave.

Which payment gateways can you connect?

Zoho Billing supports Stripe, PayPal, Authorize.Net, Braintree, GoCardless, and a range of regional processors, plus offline methods like bank transfer and check. We connect and test the ones that fit your markets, confirm refunds and settlements report back correctly, and can run more than one gateway if you bill in several currencies.

Can you handle sales tax, VAT, and GST?

Yes. We configure tax rates, product tax categories, exemption handling, and where relevant a tax engine integration such as Avalara. Rules differ by jurisdiction and by what you sell, and they change. We keep the configuration current so your invoices hold up when a customer, an auditor, or your accountant looks closely at them.

How is this different from hiring a Zoho consultant hourly?

An hourly consultant fits a project with a start and an end. Billing is not that. Cards expire, tax rules shift, gateways change their APIs, and every new pricing idea needs configuration. Each of those becomes a small negotiation when you bill by the hour. A subscription removes the friction: monitoring is continuous, small changes do not need a quote, and we keep context on your setup between requests.

Do you work with Zoho Billing inside Zoho One?

Yes. Zoho Billing is included in Zoho One, and many of our clients reach it that way. The management work is the same either way. If you run several Zoho applications, our Zoho One bundle covers the whole ecosystem rather than one app at a time, which usually costs less once you are managing more than a few apps.

What if we have more than 1,000 active subscriptions?

Tell us and we will quote it. Higher subscription counts usually mean more failed charges to work, more edge cases in proration, and more reporting demand, so the plan scales with the volume. We would rather price that openly than take on more than the standard plan covers and let response times slip.

How long does onboarding take?

Most setups are running within two to four weeks. The first stage covers access, a review of your current pricing and billing state, and gateway connections. The second covers building plans, configuring invoices and tax, and testing a full billing cycle before it touches real customers. Migrations from another platform take longer, and we will say so up front.

Is there a contract or minimum term?

The subscription is monthly with no long-term commitment. You can cancel with notice, and because everything lives in your own Zoho account, you keep every plan, customer record, invoice, and workflow we built. We would rather earn the renewal each month than rely on a contract to keep an unhappy client in place.

How do I get started?

Start with a consultation. We look at how you charge today, what is breaking, and where your billing data lives, then confirm whether the standard plan covers it. From there we take access, connect your gateway, build or repair your plans, and test a cycle end to end. If your requirements are bigger than the subscription, we will say so and quote the project.
