  • History follows the record

In detail

What each part will do

The same extension the Zoho CRM and Zoho Desk versions run, built for candidates and clients. It is written in Deluge and runs inside your own Zoho Recruit, with no dashboard of ours in between. Candidates answer texts and ignore email. Texting from the candidate record keeps the exchange in the file the recruiter is already working.

Sending from the record

Open a candidate record, choose a number and send. The message goes from the record your team is already working, rather than from a separate app they have to keep open.

Sending to many at once

Select the records you want, by hand or from a filtered view, and send once. Every recipient gets their own history entry, so the result can be reviewed person by person rather than as one batch.

Templates and dynamic fields

Reusable messages live in their own module and can carry placeholders. Each placeholder is replaced with that record’s value when the message is prepared, so a saved message still reads as specific to the person receiving it.

On a bulk send the placeholders are resolved separately for each recipient.

Scheduling

A message can be held for a date, time and timezone you choose. It is written to history as pending, then sent when it is due and marked as sent, with failures recorded rather than swallowed.

Replies that land on the record

When someone texts back, the reply is logged automatically and linked to the matching record in your Zoho Recruit, so the thread stays with the customer rather than sitting in a separate inbox.

Numbers and history

The extension reads the phone fields the record actually holds instead of assuming one, and lets the sender pick. Sent, received, scheduled and failed messages all sit in your own Zoho account under your own permissions.

Your Twilio account, your credentials. You bring your own Twilio account and numbers, so Twilio bills you directly at their rates and no messaging is resold through us. This extension is not on the Marketplace yet. The Zoho CRM and Zoho Desk versions are.

Texting inside Zoho Recruit compared with a third party SMS platform

Any SMS app on the Zoho Marketplace can send a message. The real question is what happens to your candidate database along the way, and who still has a copy of it a year from now.

What to compareHow it works here
Data stays in Zoho vs data leaves ZohoCandidates and contacts are never exported to a vendor platform, so no second copy of your candidate database ends up on infrastructure you cannot audit.
Your Twilio account vs resold messagingA reseller hides the carrier cost in a per message price you cannot check, and leaving often means giving up your numbers. With your own Twilio account, the rate and the numbers are both yours.
Flat org price vs per user seatsYou pay one price for the organization, so bringing another recruiter onto texting does not grow the bill.
Replies on the record vs a separate inboxWhen recruiters text from their own phones, the conversation walks out with them. Here the reply is logged on the candidate record, and whoever picks up that candidate next reads the whole thread.
No vendor access vs vendor holds your dataNothing you send passes through us, so we have no messages to read.
Native Deluge vs an embedded web appWritten in Deluge and running on the Zoho platform, with nothing embedded from a third party and no outside web app between your records and Twilio.

Cost

How it will be priced

This one is not on the Zoho Marketplace yet. Here is how the pricing works across the family, so there are no surprises when it lands.

The extension

Priced for the organization rather than per user, and bought through the Zoho Marketplace. Adding another person who needs to text does not change it.

The messages

Twilio bills you directly at their own rates, on your own account. We never resell messaging, so there is no margin added between you and the carrier.

Right now

Talk to us and we will tell you when it is listed, with the price at launch. Nothing to pay and nothing to install yet.

Who Twilio SMS for Zoho Recruit is for

Recruiters chasing candidates who went quiet

Candidates who let emails sit will usually answer a text. A recruiter can message them from the record already open, and the back and forth stays with that candidate, so the next recruiter knows exactly where it was left.

Get started

Agencies confirming interviews and start dates

An interview reminder cuts no shows. Choose a template, let dynamic fields pull the name, role and time from each record, and schedule it to go the evening before.

Get started

Agencies answering client data questions

When an agency client asks where candidate data goes, the answer takes one sentence: it stays in your Zoho Recruit and goes nowhere else.

What is this Zoho Recruit SMS integration?

An extension for Zoho Recruit that texts candidates, client contacts and accounts through your own Twilio account. Find one candidate and send a single message, or pick a shortlist and message everyone on it at once. Replies are stored in the SMS History module on the right record, so the full conversation stays readable in Recruit.

Can I text candidates, not just client contacts?

Yes. Candidates, client contacts and accounts can all be texted. Most candidate conversation already happens by text rather than email, and this keeps it on the candidate record instead of stuck on the personal phone of one recruiter.

Do I need my own Twilio account?

Yes. Your own Twilio account and numbers mean Twilio bills you directly at its rates, and we never resell messages with a margin. The message records sit in your Twilio console under your name, and you can change numbers or providers whenever you choose.

Which records can I text from?

Candidates, contacts and accounts. You text the person on the record, so the conversation follows the candidate or client relationship instead of a single application. Someone who applies for one role, misses out and comes back for the next still has one readable thread.

Can I message a whole shortlist at once?

Yes. Select the records, write the message once and send. Each person on the shortlist receives it, and every send is logged on its own record. It is the fastest way to update a shortlist when a role is filled or an interview day moves.

Where do replies show up?

In SMS History, as a new entry on the record that replied. There is nothing to copy over and no second inbox to watch. Because the history is part of the record, a recruiter who takes over that candidate later can read the whole exchange without chasing anyone.

Can you see my messages or my candidate records?

No. There is no phone home capability. The extension runs inside your Zoho environment and never sends your candidate records, phone numbers or message content to us. We keep no copy and run no background dashboard, and that is the main structural difference from most alternatives.

Where does the extension actually run?

On the Zoho platform, written in Deluge. There is no embedded third party interface, no outside web application and no separate service for your data to pass through. It all stays inside your own Zoho Recruit deployment, which is easy to explain to a client running a vendor assessment.

Can I personalize messages with fields from a record?

Yes. Dynamic text takes values from Zoho Recruit fields and adds them to the message at send time, such as a candidate name, a job title or an interview time. A message to forty shortlisted candidates still reads as though each one was written personally.

Can I save messages and reuse them?

Yes. Recruiters keep their most common messages as templates and pick one instead of retyping it. Templates work with dynamic fields, so each candidate still gets their own details, which covers most interview confirmations, reminders and follow ups.

What if a candidate has several phone numbers?

Every phone field on the record is detected, so you are not stuck with one default. Candidates often have a mobile, a home number and a work line on file, and you can choose any of them. That helps when the mobile number is stored in a custom field instead of the standard one.

Can I schedule a message for later?

Yes. Write the message now and set when it should go out. An interview reminder can go the evening before without anyone at a desk, which helps across time zones and for anything that must arrive the morning of a start date.

How do I install it?

From the Zoho Marketplace, like any other Zoho extension. Install it into your org, enter your Twilio credentials on the setup screen, and you can text your first candidate right away. There is nothing to host, no server to set up and no package to install elsewhere.

Is there a free trial?

Yes. The Zoho Marketplace listing includes a ten day free trial, so you can install it, connect Twilio and text real candidates before you commit to anything. The trial cannot be extended, so line up your Twilio credentials before you begin.
