What our team takes on

Most texting tools for Zoho work the same way. You install a connector, and your customer data starts flowing out to somebody else’s platform so their application can send the message and hold the thread.

Two way, not one way

Portal updates only reach the people who log in to read them. This one captures the reply.

Your Twilio, your rates

You connect your own Twilio account, so message costs are billed to you at Twilio prices with nobody in the middle taking a cut.

Personalized at any volume

Dynamic text pulls values out of the record as each message is sent.

Every number, not just one

Records rarely hold a single phone number. The extension detects every phone field on a contact or account, including custom ones, and lets you choose which to text.

Who this comparison is for

Teams that have to document where client data goes

Project work usually runs under a client contract that says where their data may sit. This one is easy to answer.

Zoho admins running Projects alongside everything else

There is no second user list to keep in step as people join a project team, and no vendor portal whose password goes missing the next time somebody leaves.

Managers chasing the approval that gates a task

Text them from the account you already have open. The reply comes back onto that record, so whoever opens the project next can see when it was asked and what was said.

How the Zoho Projects SMS integration works

Four steps, and none of them involve standing anything up. You install the extension from the Zoho Marketplace, connect your Twilio credentials, and start texting from a record.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

    Install from the Zoho Marketplace

Nothing is hosted anywhere else, no server needs provisioning, and the SMS History module appears in Zoho Projects ready to use.

  3. 3

    Connect your own Twilio account

Different teams or brands can send from different numbers, so replies reach whoever should be handling them.

  4. 4

Text a record and watch the reply land

Open a contact or account, pick a number, and send. Use a saved template if it is a message you send often, and dynamic fields fill in the details from the record.

The difference that matters

No second account, no second system

Both options give you two-way texting on your Zoho Projects records, and on paper the feature lists look similar. The difference is architectural. Plivo is a messaging platform you sign up for, and your conversations run through it. Ours is built in Deluge and runs inside your own Zoho account against your own Twilio credentials, so there is no Plivo account to hold, no vendor dashboard to log into, and no copy of your customer data anywhere but Zoho.

If your objection to texting from Zoho Projects has ever been “who else ends up holding this data”, that is the question this answers.

How Plivo works

What Plivo does, in their own words

Plivo is a cloud communications platform with SMS and voice APIs. For a Zoho comparison, the relevant question is what sits between the two.

Plivo publishes no Zoho extension of its ownPlivo publishes SMS and voice APIs. The Plivo SMS extensions on the Zoho Marketplace are published by a third party, Ulgebra, and cover Zoho CRM and Zoho Desk, while Plivo’s own Zoho pairings are documented through automation platforms such as Pipedream.
It runs on a Plivo accountEvery request is authenticated with your Plivo Auth ID and Auth Token from the Plivo console, so a Plivo account sits alongside your Zoho account.
Someone has to build or buy the linkFor a Zoho app with no Plivo extension, connecting the two means an automation platform or custom development against the API. For CRM and Desk it means relying on a third-party extension, supported by Ulgebra rather than by Plivo.
Threading depends on the route you takeAn API or automation setup sends on a record event, so replies do not land on the record unless something is built to write them back. The Ulgebra extensions do handle inbound messages, into CRM records and into Desk tickets.
Voice as well as SMSThe platform covers programmable voice and user verification alongside messaging.
Built for developersPlivo positions itself as a programmable platform for teams comfortable working against an API.

See Twilio SMS for Zoho Projects
Why would I switch from Plivo to Cascadia?

One reason is that the texting runs two ways. Portal updates only reach the people who log in to read them. This one captures the reply.

Does any of our data leave Zoho?

No. The extension is built in Deluge and runs inside your own Zoho account, using your own Twilio credentials. Message content stays in your SMS History module, and we have no access to it.

Can I personalize messages with fields from a record?

Yes. Dynamic text pulls values straight out of Zoho Projects and drops them into the message body when it is sent. Contact name, project reference, or any other field on the record can be used. That means an update going out to fifty client contacts still reads as though it was written for each one individually.

Can I save messages and reuse them?

Yes. Templates let you save the messages you send most often and pick one instead of typing it again. Templates work alongside dynamic fields, so a saved message still fills in each recipient’s own details at send time. It removes most of the retyping from routine work like status updates and approval chasing.

What if a record has several phone numbers?

The extension detects every phone field on the record rather than assuming a single default. If a contact has ten numbers on file, all of them are available and you choose which ones to text. That matters for records where the mobile number sits in a custom field rather than the standard one.

Can I schedule a message for later?

Yes. Compose the message now and set the date and time it should go out. The send happens at the moment you chose rather than the moment you were at your desk, which is useful for time zones, business hours, and anything that needs to land the morning before a deadline or a site visit.

How do I install it?

Through the Zoho Marketplace, the same way as any other Zoho extension. Install it into your organization, connect your Twilio credentials in the setup screen, and you can send your first message from a record right away. There is nothing to host, no server to stand up, and no package to install anywhere else.

Is there a free trial?

Yes. The Zoho Marketplace listing offers a ten day free trial so you can install it, connect your Twilio account, and send real messages before committing to anything. Trials cannot be extended, so it is worth having your Twilio credentials ready before you start the clock on it.

What is this Zoho Projects SMS integration?

It is a Zoho Projects extension that lets you text your contacts and accounts using your own Twilio account. You can search for one client contact and send a single message, or select a group and send to all of them at once. Replies come back into the SMS History module against the record they belong to, so the whole conversation stays readable inside Zoho Projects.

How is this different from portal notifications and email updates?

Portal notifications only work when somebody logs in, and a client who replies by email lands somewhere nobody is watching. This extension sends a text and captures the reply against the record, and it lets you message a whole group at once rather than one person at a time. That makes SMS a channel a client can actually answer.

Do I need my own Twilio account?

Yes. You connect your own Twilio account and use your own numbers, so carrier charges are billed to you directly at Twilio rates rather than resold through us with a margin on top. It also means your message records sit in your Twilio console under your name, and you can change providers or numbers whenever you want.
