Maxio alternative
What You Get Instead Of Running Maxio Yourself
Maxio sells you a billing platform, priced on your revenue, and leaves the running of it to your team. We take a different route. Your subscriptions, invoices and renewals run in Zoho Billing, and we do the work on a flat monthly plan: pricing set up the way you actually sell, invoices and tax configured correctly, expired cards chased before they become churn, and revenue numbers that reconcile with your books.
With Cascadia you get
- Someone watching your charges
- Dunning tuned, not defaulted
- Pricing that bills the way you sell
- Tax handled before it bites
- Your account, your customers
- Fewer billing tickets to answer
The short version
What you get here instead of Maxio
Most of the money a billing setup can win back is in dunning. A failed renewal only becomes lost revenue when nobody retries it with some thought, and a default retry schedule was never written with your customers in mind.
What you get here
- Payment Reminders & Follow-Up
- Customer & Contact Data Hygiene
- User Roles & Access Control
- Zoho App Integrations
- Failed Charge Monitoring
- Recurring Revenue & Churn Reporting
- Webhook & Automation Health
- Monthly Subscription Support
What ships in the standard plan here

What the managed part actually means
Nothing looks broken. The billing run finishes and the dashboard reads normal, yet each cycle comes in a few percent light, and nobody notices until someone sits down to reconcile.
Tax handled before it bites
Sales tax, VAT and GST rules vary by jurisdiction and by product, and they change without notice. We set up the rates, exemptions and any tax engine integration, then keep them current.
Your account, your customers
Plans, customer records, invoices and workflows all live in your own Zoho account. If you move to another provider one day, nothing needs exporting and nobody holds your billing data as leverage.
Fewer billing tickets to answer
We set up the customer portal so customers update their own payment details, download invoices and switch plans. That removes a steady trickle of small requests from your team.
Someone watching your charges
When a gateway stops authorizing, nothing tells you. Charges start failing quietly, and a month later the gap shows up in a revenue number nobody thinks to question. We watch the charges so it never gets that far.
Who this comparison is for
Agencies billing monthly retainers
Retainer invoices take hours each month, and no two accounts ever seem to look quite the same.
Subscription and SaaS businesses
If your revenue comes in monthly or yearly from plans, billing is no longer admin. It is part of how the product works.
Businesses still invoicing by hand
Invoicing by hand is slow and error prone, and it is the first thing to slip when the month gets busy.
How our managed Zoho Billing service works
The order of work is the same whether your Zoho Billing organization is brand new or one somebody else set up. We learn how you charge, build the plans, test them through a full cycle, go live, and keep running it after that.
- 1
We assess your current setup
We start with what exists today: what you pay for already, how it is configured, and which parts give you the most trouble.
- 2
We map how you actually charge
Pricing often carries a rule nobody wrote down. Mapping how you charge brings it out now, not three billing cycles from now.
- 3
We build the plans and test a cycle
Products, plans and price books get built, the payment gateway connected, and invoice templates and tax configured. Then a full billing cycle runs against test customers before any real charge goes out.
- 4
We go live and keep it collecting
After launch the work continues. Failed charges are followed up, tax and plan changes are applied, integrations are fixed when an API changes, and revenue reporting stays reconciled with your books.
How Maxio works
What Maxio does, in their own words
Maxio is a billing and SaaS metrics platform, created when SaaSOptics and Chargify combined. It does not publish a rate card, so the figures below come from pricing records and procurement data, read in September 2026.
Taken from Maxio pricing benchmarks, Maxio plan record. Checked September 2026.

Maxio alternative questions
Common questions from teams weighing Maxio against a managed Zoho Billing setup.
See Managed Zoho BillingHow is Cascadia different from Maxio?
Maxio is software you license and run yourself, with pricing tied to your revenue. With Cascadia, Zoho Billing does the billing and our team does the running on a flat monthly plan: plans built the way you sell, failed charges followed up, and tax rates, exemptions and tax engine integrations kept current so invoices hold up when an accountant or auditor reads them closely.
What happens when a customer payment fails?
They go through the dunning workflow we set up for you: retries timed to when cards usually get replaced, reminder emails that sound like a business and not a collections agency, and a grace period before service is affected. We track how much gets recovered and adjust the sequence, since most failed payments are expired cards, not customers deciding to leave.
Which payment gateways can you connect?
Zoho Billing works with Stripe, PayPal, Authorize.Net, Braintree, GoCardless and a number of regional processors, along with offline methods such as bank transfer and check. We connect and test the ones that suit your markets, make sure refunds and settlements report back correctly, and can run more than one gateway if you bill in several currencies.
Can you handle sales tax, VAT, and GST?
Yes. We set up tax rates, product tax categories and exemption handling, plus a tax engine integration such as Avalara where it makes sense. The rules vary by jurisdiction and by what you sell, and they change, so we keep the setup current and your invoices hold up under a close look from a customer, an auditor or your accountant.
How is this different from hiring a Zoho consultant hourly?
Hourly consulting suits a project that starts and ends. Billing never ends. Cards expire, tax rules move, gateways change their APIs, and each new pricing idea needs configuring. Billed by the hour, every one of those turns into a small negotiation. On a subscription, monitoring runs all the time, small changes need no quote, and we keep track of your setup between requests.
Do you work with Zoho Billing inside Zoho One?
Yes. Zoho One includes Zoho Billing, and plenty of our clients use it that way. The management work does not change. If you run several Zoho apps, our Zoho One bundle covers the whole set at once, which usually costs less once more than a few apps are involved.
What if we have more than 1,000 active subscriptions?
Let us know and we will quote it. More subscriptions tend to bring more failed charges to work, more proration edge cases and more reporting, so the plan grows with the volume. We prefer to price that in the open than stretch the standard plan and let response times slide.
How long does onboarding take?
Most setups are live in two to four weeks. Stage one covers access, a review of your current pricing and billing, and gateway connections. Stage two covers building plans, setting up invoices and tax, and testing a full billing cycle before real customers are involved. A migration from another platform takes longer, and we tell you that at the start.
Is there a contract or minimum term?
It is month to month with no long-term commitment. You can cancel with notice, and since everything sits in your own Zoho account, every plan, customer record, invoice and workflow we built stays with you. We want to earn the renewal each month, not lean on a contract.
How do I get started?
Book a consultation. We look at how you charge now, what is breaking and where your billing data lives, and confirm whether the standard plan covers it. Then we take access, connect your gateway, build or fix your plans and test a cycle end to end. If what you need goes beyond the subscription, we say so and quote the project.
