Switching From Stripe Billing To A Team That Runs It

Zoho Billing can run every subscription, invoice, and renewal you have, once someone builds the plans, connects a gateway, and watches what fails. That part is a job. We handle it on a flat monthly plan: pricing configured the way you actually sell, invoices and tax set up correctly, expired cards chased down before they turn into churn, and revenue numbers that reconcile with your books.

With Cascadia you get

  • Someone watching your charges
  • Dunning tuned, not defaulted
  • Pricing that bills the way you sell
  • Tax handled before it bites
  • Your account, your customers
  • Fewer billing tickets to answer

The short version

Cascadia, compared with Stripe Billing

Plan and tax configuration is maintained as the rules move rather than as they stood at setup. Failed charges are worked rather than logged.

What changes once we run it

The billing run completes. The dashboard looks normal. The money is simply a few percent lighter than it should be, every cycle, until somebody sits down and reconciles. Dunning is where most of the recoverable money sits.

Dunning tuned, not defaulted

Most failed payments are expired cards, not decisions to leave. Default retry schedules ignore that, so you lose customers who never meant to go anywhere.

Pricing that bills the way you sell

Tiered rates, usage charges, and mid-cycle upgrades are easy to design and hard to configure.

Tax handled before it bites

Sales tax, VAT, and GST rules differ by jurisdiction and by product, and they change without telling you.

Your account, your customers

Everything we build lives inside your own Zoho Billing subscription, under your ownership. If you ever change providers, your plans, customer records, invoices, and workflows stay exactly where they are.

Who this comparison is for

Agencies billing monthly retainers

We put your retainers, add-ons, and overages onto recurring plans with a customer portal attached, so invoicing stops being a monthly scramble and clients stop asking what they were charged for.

Subscription and SaaS businesses

When revenue arrives monthly or annually from a plan, billing stops being admin and starts being the product working.

Businesses still invoicing by hand

Manual invoicing is slow, easy to get wrong, and it always slips in a busy month.

How our managed Zoho Billing service works

Whether you are starting from an empty Zoho Billing organization or inheriting one somebody else configured, the sequence is the same. We work out how you charge, build the plans and test them against a full cycle, then go live and keep it running afterward.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

We map how you actually charge

If your pricing has a rule nobody ever wrote down, this is where it surfaces, rather than three cycles later.

  3. 3

We build the plans and test a cycle

Billing that goes live unverified produces confident invoices that happen to be wrong, and those cost far more to unwind than to prevent.

  4. 4

We go live and keep it collecting

We migrate your active subscriptions, switch on the dunning and reminder sequences, and hand over access with permissions already sorted.

How Stripe Billing works

What Stripe Billing does, in their own words

Stripe Billing is the subscription layer on top of Stripe payments. The figures below were read in September 2026 and sit on top of processing fees, not instead of them.

Pay as you go, 0.7 percent of billing volume (September 2026)Charged on top of standard payment processing. The former Starter at 0.5 percent and Scale at 0.8 percent were consolidated to a single rate in 2024.
Processing is separateUS online card transactions are commonly quoted at 2.9 percent plus 30 cents, with 1.5 percent added on non-US cards and about 1 percent for currency conversion.
Monthly commitment plans existListings describe fixed monthly tiers around $620 for up to $100,000 of billing volume and $1,500 for up to $250,000, with larger volumes quoted.
The billing fee applies to the whole volumeIt runs on every cycle rather than on new signups, which is the part that surprises people modeling costs from the headline rate.
Add-ons stackTax around 0.5 percent, fraud screening a few cents per transaction and disputes at about $15 each build on top of the base rates.
It bills, it does not decidePlans, proration rules, dunning policy and what happens when a card fails are still decisions somebody has to make and maintain.

Stripe Billing alternative questions

Straight answers about switching, pricing, and what moves with you.

See Managed Zoho Billing
We already use Stripe Billing. What changes here?

Your dunning gets tuned instead of left on the defaults. Most failed payments are expired cards, not decisions to leave. Default retry schedules ignore that, so you lose customers who never meant to go anywhere.

How do I get started?

Start with a consultation. We look at how you charge today, what is breaking, and where your billing data lives, then confirm whether the standard plan covers it. From there we take access, connect your gateway, build or repair your plans, and test a cycle end to end. If your requirements are bigger than the subscription, we will say so and quote the project.

What is managed Zoho Billing?

Managed Zoho Billing is an ongoing subscription where we run your Zoho Billing environment for you. That covers plan and pricing setup, subscription changes, invoice and tax configuration, payment gateway connections, dunning and failed payment recovery, and recurring revenue reporting. Instead of assigning billing admin work to someone in finance who already has a job, you have a team inside your setup handling it month to month.

What is included in the monthly plan?

The plan covers 1 billing organization with up to 1,000 active subscriptions. Within that, we handle plan and price book changes, subscription lifecycle work, invoice and tax configuration, gateway monitoring, dunning and recovery workflows, customer portal setup, integration health, and revenue reporting. Larger pieces of work such as migrating from another billing platform or rebuilding your entire pricing model are scoped and quoted as separate projects.

Do I still need my own Zoho Billing license?

Yes. You keep your own Zoho Billing subscription and own the account, the customer records, and every plan and invoice inside it. We work in your environment as an administrator. That matters if you ever change providers, because nothing sits behind our accounts and there is no data to negotiate for. We will also advise on which plan tier fits your subscription volume.

How is Zoho Billing different from Zoho Books?

Books is your accounting system. Billing is the subscription engine that decides who gets charged, how much, and when, then hands the resulting invoices and payments to accounting. Most companies running recurring revenue need both, connected. We manage that connection so a subscription change flows through to your books without anyone reentering it.

Can you migrate us from another billing platform?

Yes, and migrations are quoted separately from the monthly plan because the effort varies enormously. Moving from Chargebee, Recurly, Stripe Billing, or a homegrown system means recreating plans, importing customers and their subscription state, transferring payment tokens where the gateway allows, and reconciling the first cycle carefully. We will scope it honestly before you commit.

What happens when a customer payment fails?

Failed payments run through the dunning workflow we configure for you. That means a retry schedule timed to when cards typically get replaced, reminder emails that read like a business rather than a collections agency, and a grace period before service consequences. We monitor recovery rates and adjust the sequence, because most failed payments are expired cards rather than a decision to leave.

Which payment gateways can you connect?

Zoho Billing supports Stripe, PayPal, Authorize.Net, Braintree, GoCardless, and a range of regional processors, plus offline methods like bank transfer and check. We connect and test the ones that fit your markets, confirm refunds and settlements report back correctly, and can run more than one gateway if you bill in several currencies.

Can you handle sales tax, VAT, and GST?

Yes. We configure tax rates, product tax categories, exemption handling, and where relevant a tax engine integration such as Avalara. Rules differ by jurisdiction and by what you sell, and they change. We keep the configuration current so your invoices hold up when a customer, an auditor, or your accountant looks closely at them.
