A Doodle Alternative for Businesses That Book Clients, Not Committees

Doodle began as a group poll and it is still very good at that. If what you need is a booking system that takes appointments from clients, syncs the calendars, sends the reminders and files the customer record where your team can act on it, that is a different product. Managed Zoho Bookings is three hundred dollars a month, flat, however many calendars you run.

With Cascadia you get

  • Someone watching your calendar syncs
  • Rules that match reality
  • API work where settings stop
  • Built around the customer
  • Your account, your bookings
  • Staff counts watched before billing bites

The short version

Why teams pick Cascadia over Doodle

We exist for the case where the booking is the front door to a business that also quotes, invoices, supports and follows up, and nobody has the hours to wire that together.

What you get here

  • Someone sits with the people who take the bookings and turns how they work into services, durations and buffers
  • Someone writes the confirmation, reminder and follow up wording in your voice and tests what actually arrives
  • Availability, buffers and staff calendars reviewed every month against the appointments that actually happened
  • A price that does not move when a second person starts taking bookings
  • The same named person every time, who configured your booking rules and remembers why
  • One booking process every location agreed on, instead of five people each configuring their own calendar
  • One monthly figure with no seat count attached and no annual commitment
  • The booking, the customer record, the quote and the support ticket living in one system

What ships in the standard plan here

Four plans, two of which publish no price. Per seat billing on both paid tiers, an annual commitment, a two seat floor on Team, advertising on the free plan, and payments and branding held back until the top of the self serve range.

Where a per seat license stops being the thing that matters

Zoho Bookings configured around your appointment types, your staff calendars and your buffers, then wired into Zoho CRM so a booking arrives as a customer record rather than a calendar entry.

One number covering the build, the tuning and every change after it

Services and durations, staff calendars and availability, buffers, intake questions, reminder wording, payment rules and the CRM connection.

No seat count behind it, so a fifth person does not change the invoice

Three hundred a month is the whole of it. Doodle prices both paid tiers per seat and starts Team at two of them, so the bill follows your headcount upward.

The person who built your booking rules is the person who picks up

You are not explaining your setup to somebody reading it for the first time. Doodle runs a good help center and a support form, and a dedicated success manager exists at Enterprise.

One suite, so today’s booking is already tomorrow’s invoice

Zoho Bookings sits alongside CRM, Books, Desk and Projects. The appointment becomes a customer record, a quote and an invoice without an automation task in between.

Who this comparison is for

The free plan is one of each, and it carries ads

Zero dollars and no card. You get one Group Poll, one Booking Page, one 1:1 and basic Sign-up Sheets. For occasional scheduling that is genuinely enough.

Pro and Team meter per seat and bill annually

Both paid tiers state per seat, billed annually, and Team starts at two seats. Pro lifts the caps, removes the ads and adds Zoom, Microsoft Teams and Webex.

Taking payment and losing the Doodle branding are both Team features

Stripe payments sit on Team, and so does custom branding. If you take deposits, or you want the booking page to look like your business rather than Doodle, the Pro plan does not cover it.

How switching works

  1. 1

Nothing gets built until we have followed one real appointment from request through to invoice

We sit with whoever takes the bookings, and with whoever has to explain the day when it goes wrong, and we write down what happens to a customer in practice rather than what the website says happens.

  2. 2

The live appointments and the regular customers move first, and get checked before anyone works in them

The bookings already in the diary, the customers who come back, the staff calendars people actually work from and the notes behind them.

  3. 3

The services, the durations and the availability get built around you, not left on defaults

Default availability produces a diary nobody can work. We build the services, the buffers and the staff rules around how the day really runs, so the calendar matches what the team can actually deliver.

  4. 4

You run a full month on it, including a real busy week and a real cancellation

The first month of live booking runs with us alongside it. Anything that double books or reminds the wrong person gets fixed while everybody still remembers the customer it happened to.

How does Doodle compare to Calendly, Acuity Scheduling and Setmore?

It is the odd one out, and that is the most useful thing to know about it. Calendly, Acuity and Setmore were all built to take appointments. Doodle was built to find a time that suits a group, and the booking page arrived later. If your problem is getting eleven people to agree on a Thursday, Doodle wins and the other three are the wrong shape. If your problem is a client picking a slot and leaving a deposit, the other three are ahead of it. On price, Setmore publishes everything it charges, Calendly publishes its tiers, Acuity publishes nothing, and Doodle publishes only the free plan and the fifteen thousand dollar Enterprise floor.

Is Doodle actually free, or is it a trial?

Actually free, with no card and no clock running. The limit is quantity rather than time: one Group Poll, one Booking Page, one 1:1 and basic Sign-up Sheets. The one thing worth knowing before you put it in front of a client is that the free tier carries advertising, because removing the ads is listed as a Pro feature.

What counts as a seat on Doodle?

A person. Both paid tiers are priced per seat and billed annually, and Team has a floor of two seats, so a single operator who needs a Team feature is still buying two of them. That is the part worth modeling before you commit, because the seat count is the number that grows as the business does.

What do you only get on Doodle Pro and Team?

Pro lifts the caps on polls, booking pages, 1:1s and sign-up sheets, removes the ads, adds advanced settings such as deadlines, reminders and hidden participants, and adds Zoom, Microsoft Teams and Webex. Team adds the admin console, roles and permissions, co-host events, book on behalf, activity reports, custom branding, Stripe payments and AI generated meeting descriptions. Single sign on, MFA, role based access and a dedicated success manager are Enterprise.

Doodle is far cheaper than three hundred a month. Why would I pay you?

For most teams it probably is cheaper, though neither of us can prove it while two of its four prices are unpublished. You should not pay us for the software. You pay us because the software is not the work. Somebody has to define the services and durations, set the buffers, connect the calendars, wire the booking into your customer record, and rework all of it every time your hours or your staff change. Doodle sells you the tool and leaves that part with you. If your team is happy owning it, take the free plan and spend the money somewhere it earns more.

At what point does Doodle stop being cheaper?

We cannot give you a break even number, and any page that hands you one for Doodle has invented it, because the per seat rate is not published anywhere we could fetch. What we can tell you is the shape of the two curves. Doodle rises with every person you add. Ours does not move. Three hundred a month is the same figure whether one person takes bookings or twelve. Get Doodle to quote you, then work out your own crossover from a real number.

Is Doodle a booking system or a scheduling poll?

Both, but it grew in that order and the product still shows it. Doodle files Group Poll and Sign-up Sheet under its products for groups, and puts the Booking Page under features. That is a description rather than a criticism, and it matches what the tool is genuinely good at. If you are picking something to run client appointments through for the next three years, weigh it against products that started life at the appointment.

Can I take payments through Doodle?

Through Stripe, on the Team plan. Not on Free, and not on Pro. If deposits or prepayment matter to how you work, that puts you on the tier with the two seat minimum, which is worth knowing when you are comparing it against tools that include payments further down the range.

Does Zoho Bookings connect to the rest of Zoho?

That is the reason to choose it. Bookings sits alongside CRM, Books, Desk and Projects, so an appointment becomes a customer record, a quote, an invoice and a support history without a connector holding the whole thing together.

What exactly do you do for three hundred a month?

We build the services and durations, set the staff calendars and availability, configure buffers and lead times, write the intake questions and the confirmation and reminder wording, set up payments and cancellation rules, connect Bookings to your other Zoho apps, and then keep tuning all of it as your hours and staff change.

Do I need a Zoho subscription on top of your fee?

You need a Zoho plan that includes Bookings, and that account is yours. We manage it, we do not resell it, and if you leave the account and the data stay with you.

Can you move us off Doodle?

Yes. Booking pages, appointment types, availability and your customer list come across, and we build the equivalent in Zoho Bookings before anything is switched over. Group polls do not migrate, because Zoho Bookings has no equivalent to them. If polls are part of how you work, keep the Doodle free plan running alongside us and use each for the thing it is good at.

What if we only have two people?

Then take the Doodle free plan, or run Zoho Bookings yourself, and keep your three hundred dollars. Two people taking a handful of bookings a week is not a problem worth paying anyone to manage. Come back when the calendar starts costing somebody an afternoon a week.

Want a booking process where the setup, the tuning and the person maintaining it sit inside one flat figure?

Three hundred a month covers the review, the configuration, the migration and the ongoing tuning, with nothing metered and nobody counted.
