Switching From Copper To A Team That Runs It

Copper keeps a sales team organized inside Gmail, and the upkeep is left to you. We move you to Zoho CRM and run it for you on a flat monthly rate: stages that follow your real process, layouts your reps will fill in, workflow rules that chase the follow-ups, email and phone system integrations, and dashboards your managers can trust.

With Cascadia you get

  • Your sales process leads
  • Configuration that keeps up
  • API work where connectors stop
  • Adoption over feature count
  • Your account, your data
  • Licensing watched before it bites

The short version

Where a managed service beats running Copper alone

An empty CRM does more harm than having none, because people still make decisions from it. A blank field reads as no activity, and a stage nobody updated reads as a deal that stalled.

Where we go further

Most of it is upkeep nobody else schedules. Duplicates get cleared on a timetable, and each role gets a layout that fits how it works.

API work where connectors stop

Standard connectors handle the common cases. Some jobs need more, like sending deal data to a finance system Zoho has never heard of, pulling pricing from your own database, or kicking off a downstream process the moment a deal closes. We build those with the API and Deluge.

Adoption over feature count

We look at what your team uses, remove the fields nobody fills in, and fix the steps that waste their time. What we measure is adoption, not the number of features switched on.

Your account, your data

All of it lives in your own Zoho CRM subscription, which you own. Change providers one day and the pipeline, automation, custom modules and every record stay right where they are.

Licensing watched before it bites

We compare what you use with what you pay for and raise an edition change before a missing feature holds up a project, so costs never catch you off guard.

Who this comparison is for

Teams whose CRM was set up and abandoned

We audit the current setup, keep what still works, rebuild what does not, and own it from then on.

Sales teams still running on spreadsheets

A shared sheet holds up until two people edit it at the same time, a deal goes quiet with no owner, or someone asks what closed last quarter.

Companies migrating off Salesforce or HubSpot

Records, history, notes, attachments and open activities need to arrive with their owners and dates, not as a flat contact list. A test migration runs first, so you can see exactly where everything lands before the team switches.

How our managed Zoho CRM service works

Starting fresh or taking over a CRM somebody walked away from, the order is the same. We learn how you sell now, build the pipeline and automation to match, then bring your data across and connect the systems around it.

  1. 1

    We assess your current setup

We begin with the current state: what you already pay for, how it is set up, and which parts cause the most trouble.

  2. 2

We map how you actually sell

A consultation covers how deals arrive, the stages they pass through, who owns what today, and where things get stuck.

  3. 3

We build the pipeline and automation

Lead scoring is set from your own closed-won history, not a generic template. If your edition has a sandbox, the build and testing happen there before your reps see anything.

  4. 4

We connect, roll out, and maintain

Your data comes across, email, telephony and your other Zoho apps get connected, and from then on we keep it all running.

How Copper works

What Copper does, in their own words

Copper is a CRM designed around Google Workspace. Its tier lineup changed earlier in 2026, and the figures below were read in September 2026, after that change.

The Starter tier was removed in 2026It sat at around $12 per user a month. Some directories still list it, so older quotes and comparisons may be out of date.
Basic, $29 per user a month or $23 annually (September 2026)Includes Gmail integration, pipelines and mobile access.
Professional, $69 per user a month or $59 annually (September 2026)Workflow automation, email sequences and reporting start at this tier.
Business, $134 per user a month or $99 annually (September 2026)Brings in LinkedIn integration, lead scoring and custom reports.
No free tier, and monthly billing costs morePaying monthly costs roughly 20 percent more than the annual rate.
The Gmail sidebar is the reason to buy itIt captures contacts and email threads inside Gmail automatically, which keeps records current for teams that skip manual logging. It also ties you to Google Workspace.

Copper alternative questions

What teams ask us before they move off Copper.

See Managed Zoho CRM
Is Cascadia a straight swap for Copper?

Not exactly. Beyond running Zoho CRM day to day, we take on the API work that standard connectors cannot do, such as sending deal data to a finance system Zoho does not know, pulling pricing from your own database, or starting a downstream process when a deal closes. Built with the API and Deluge, an unusual requirement never becomes a permanent manual step.

Can you connect Zoho CRM to our phone system and email?

Yes. Gmail or Microsoft 365 gets connected so mail and meetings log against the right record on their own, and your phone system is wired through PhoneBridge so calls, recordings and outcomes attach without anyone typing them up. Zoho CRM supports a long list of telephony providers. If yours is missing, we check what its API allows before promising anything.

What about integrations with the rest of our Zoho apps?

That is often where a CRM pays for itself. Books puts invoices and payments on the account, Desk shows support history next to the deal, Campaigns handles marketing attribution, and Analytics covers reporting across several apps. When a built-in connector falls short, we extend it with the API and Deluge instead of leaving you a manual step.

How do you handle data quality and duplicates?

Duplicates are the quickest way to a CRM nobody trusts, and then nobody updates it. We set unique field rules and merge criteria so duplicates are harder to create, and run scheduled clean-ups on the ones already there. Once reports match what the team believes, adoption tends to improve by itself.

Can you control who sees which deals?

Yes. The role hierarchy and profiles give each person access to what their job needs and nothing beyond it, with territories and sharing rules where regions or overlay teams complicate ownership. Field-level permissions protect sensitive details such as margin, contract value and personal data, and we set up the audit trail and exports your auditors ask for.

Do we get reports and dashboards, or do we build those?

We build them: pipeline by stage and owner, stage-to-stage conversion, average sales cycle, activity against outcomes, and where deals stall. Each manager gets a dashboard for their own team, not one shared view nobody reads. When leadership asks a new question each month, we add the report so nobody has to export a spreadsheet.

Which Zoho CRM edition do we need?

That depends on what you use. Blueprint, sandbox, territory management and a lot of the advanced automation need Enterprise or higher, while a small team with a simple pipeline often does fine on Professional. We track usage against your edition and tell you when an upgrade is worth it, when it is not, and when Zoho One costs less than the apps you pay for now.

Is there a minimum term, and how do we start?

It runs month to month with no long-term commitment, and everything we build stays in your own Zoho account either way. The first step is a consultation. We look at how you sell, how many users you have, what has to connect to the CRM and what shape your data is in, then confirm whether the standard plan covers it. If you need more, we say so and quote the work.

What is managed Zoho CRM?

It is an ongoing subscription where we run your CRM. That takes in pipeline and stage design, page layouts, automation and blueprints, lead assignment, data migration and hygiene, integrations with email, telephony and your other Zoho apps, and the security model and reporting underneath. Nobody on your team has to find time to administer a sales system, because we are already in the account doing it every month.

What is included in the monthly plan?

The plan covers up to 25 users across all CRM modules. Inside that, we take care of pipeline and layout changes, new workflow rules and blueprints, assignment and scoring rules, custom fields and modules, integration monitoring, roles and permissions, data clean-ups, user administration, and reports and dashboards. Bulk migrations from another CRM and large custom API builds are scoped and quoted on their own, which keeps the monthly cost predictable.

Do I still need my own Zoho CRM license?

Yes. The Zoho CRM subscription stays yours, along with the account, the configuration and every record. We work in it as an administrator, so if you change providers there is nothing behind our accounts and no export to negotiate. We also tell you which edition you really need, because several features people expect as standard only come with Enterprise and above.
