A Help Scout Alternative For The Team That Buys Another Seat Every Time The Queue Grows

Help Scout is twenty five a user on Standard and forty five on Plus, and the seat price is only the first meter. Light users past the included handful, extra inboxes, extra help centers and every AI resolution are all counted on top of it. Managed Zoho Desk is seven hundred a month, and what that buys is not software.

With Cascadia you get

  • We tune the automation
  • SLAs that mean something
  • We read the ticket data
  • Built around your actual queue
  • Your account, your configuration
  • Context from the rest of Zoho

The short version

Why teams pick Cascadia over Help Scout

We are for the case where the problem is that nobody has time to decide how the desk should behave, not the price of the software holding the tickets.

What you get here

  • Every channel your customers already use wired into one queue in the first week
  • SLA and escalation rules written around your hours rather than left at the default
  • Somebody retuning the routing and the automation each month as the ticket mix shifts
  • A help center whose articles get written and kept current rather than left at ten stubs
  • A named person who already knows your queue when it backs up at the end of a quarter
  • Macros and workflows written once for the questions that repeat, not retyped every time
  • One monthly figure, with no add on for single sign on, extra inboxes or an onboarding specialist
  • The wiring into your CRM, your invoices and your projects done as part of the service

What ships in the standard plan here

A tidy shared inbox that will faithfully hold every ticket somebody routes into it, priced per person, with nobody at all included to decide how the routing should work.

  • Reporting that answers the question you were actually asking about the queue

Where a seat price stops describing the work

Zoho Desk set up around how your customers actually reach you, with the channels, the SLA rules, the automation and the help center all ours, at one flat figure.

One tier, so there is no plan above this one to be sold to you later

Seven hundred a month is the whole of it. There is nothing above it we can move you onto, and nothing held back on a tier we have not sold you yet.

The people who set up your desk are the people who answer about it later

You are not routed to a support queue that has never seen your escalation rules, and there is no onboarding specialist or account manager to buy separately for the privilege.

One suite, when the customer record and the ticket already live together

Zoho Desk sits alongside CRM, Books, Projects and the rest of the suite, so the person raising the ticket and the person on the invoice are the same record rather than two systems reconciled by hand.

Who this comparison is for

For two or three people sharing a light queue, the free plan is the right answer and it costs nothing

The free plan gives you five users, one inbox and one Docs site, with no trial clock and no card at signup.

Light users, extra inboxes, extra help centers and AI answers are all counted separately

Plus includes five light users and Pro fifteen, with the plan maximums at twenty five and fifty. Inboxes past the included two, five or ten are ten a month each.

Single sign on, IP restrictions and HIPAA sit behind add ons unless you are on the top tier

On Standard and Plus, single sign on, IP restrictions and the Aircall phone integration are all listed as add ons, and HIPAA compliance is an add on from Plus.

How switching works

  1. 1

Nothing gets configured until we have followed a real week of tickets end to end

We sit with whoever answers first and whoever it gets handed to, and we write down what actually happens rather than what the org chart assumed was happening.

  2. 2

History moves across and is checked before anybody answers a new ticket inside it

Open tickets, contacts, saved replies and the help center articles behind them.

  3. 3

The routing and the SLA rules get built for your business rather than accepted as defaults

A default queue produces reports nobody reads. We build the routing and the escalation around how requests actually arrive, so the reporting answers a question somebody was already asking.

  4. 4

You run a full month in it, including a real busy week and a real set of reports

The first month of live use runs with us alongside it. Whatever routes wrong in the first busy week gets fixed while everybody still remembers the ticket behind it.

See Managed Zoho Desk
What is a Help Scout alternative?

Anything that holds the tickets and produces the reports without being Help Scout. On this hub that means Zendesk, Freshdesk, Intercom and Zoho Desk. The useful question is not which product has the longer feature grid, because at this end of the market they will all hold a ticket. It is who decides where it goes and who is accountable when it sits there.

How is Cascadia different from Help Scout?

Help Scout sells a seat in a tool. We sell the work. The seven hundred covers the channels, the SLA and escalation rules, the automation, the help center content, the reporting and the integrations, and the people who built it are the people who answer when you call. Help Scout has no equivalent to that at any tier, because it is not what they sell.

Is Help Scout cheaper than this?

For a small team, yes, and there is no version of this page where that changes. Five people on Standard is a hundred and twenty five a month against our seven hundred. What you are weighing is not two prices, because only one of them has somebody’s time inside it. It is whether the desk is going to get run, and by whom.

What is not included in the seven hundred?

Your Zoho licenses, which Zoho bills to you directly at their published rates, and the work of actually replying to your customers, which stays with your team. Everything involved in making the desk work and keeping it working is inside the figure.

Why not just use Help Scout and run it ourselves?

If three of you share the queue and somebody is willing to own how it is set up, do exactly that. The free plan covers five users and it is a genuinely good product for that case. The reason people stop is not that Help Scout failed them. It is that the person who set it up moved on, and nobody inherited the workflows.

Should we buy this at all?

Often not, and finding that out now is far cheaper than finding it out in month four. If two or three of you handle a light queue and everybody already knows who picks up what, seven hundred a month of desk management is a solution looking for a problem. We would rather say so on the first call.

Do we have to migrate everything at once?

No. Open tickets, contacts and the saved replies people use every day move first, because those are what the team is actually working from. Closed history and the older articles follow once the live queue is settled. Splitting it that way means nobody waits on a full migration before they can answer a customer.

Does anything break while you take over?

Nobody stops answering and nothing goes dark. Your existing Help Scout account stays exactly where it is until the new desk has run a full month with nothing falling through it. Cutting over is a decision you make once you have watched it work, not a date we impose on you.

What if we already run Help Scout and want to move?

It is a common route here and the export itself is straightforward. Where it gets fiddly is deciding which of the existing workflows and saved replies are worth carrying over, because most desks accumulate a few that nobody remembers writing. We work that out before anybody signs anything, so the tidying up is known rather than discovered.

Do you own the system or the data?

No to both, and the arrangement is deliberately dull. The Zoho account is in your name, the tickets and the help center are yours, and if you stop working with us you keep every record and carry on. Nothing about leaving is designed to be awkward.

What exactly is included?

One flat figure with nothing metered behind it. Seven hundred a month covers the ticket channels, the SLA and escalation rules, the automation, the help center and knowledge base content, the reporting, and the integrations with the rest of your Zoho apps.

Do you guarantee the implementation will go to plan?

No, and be wary of anybody who does. A migration meets tickets nobody has looked at properly in years, and a first month of live routing usually turns up two kinds of request the business had never named. What we will commit to is that those surprises are ours to absorb rather than yours to be invoiced for.

What does the monthly report actually contain?

What came in, what got answered, what is still open and what took longest, alongside anything we changed in the rules and anything odd enough to be worth mentioning. It is a page rather than a deck, and it is written so somebody who never opens the help desk can still tell how support is doing.

How long before we see a difference?

Four to eight weeks to a full month running cleanly in most cases, and longer where years of ad hoc folders and saved replies have to be sorted out first. The honest variable is not our speed, it is how quickly somebody can tell us what ought to happen to a request nobody has named before.

What if we want to leave?

Thirty days’ notice ends it and nothing is stranded. The Zoho account stays in your name, the rules and the help center stay exactly as they are, and the documentation comes with you. There is no exit fee and no data to pry out of us, because it was never ours to hold.
