What is managed Zoho Invoice?

Managed Zoho Invoice is a monthly service where we run the invoicing side of your business inside your own Zoho account. We build the templates, set up recurring billing and payment gateways, connect Invoice to CRM and the rest of your systems, chase late payments with automated reminders, and handle the changes you ask for. You send the work out and get paid. We keep the machinery behind that running.

Zoho Invoice is free, so why pay to have it managed?

You are not paying for the software. You are paying for invoices that go out on the day they should, payments that reconcile, reminders that chase late payers without you having that conversation, and integrations that keep working when something upstream changes. Most businesses that struggle to get paid on time do not have a software problem. They have a nobody owns this problem, and that is the part we take on.

Should we use Zoho Invoice or Zoho Books?

Invoice handles invoicing, estimates, payments, time tracking, and expenses. Books adds full accounting on top: bank reconciliation, a chart of accounts, bills, and financial statements. If your bookkeeper works in QuickBooks or Xero and you just need billing to run cleanly, Invoice is the right fit. If you want your accounting in Zoho too, Books is the better home. We will tell you which your situation calls for.

Can you connect Zoho Invoice to Zoho CRM?

Yes, and it is one of the first things we set up. Closed deals become estimates or invoices without anyone retyping the customer, the contact, or the line items, and payment status flows back into CRM so your sales team can see who has paid without asking accounting. We map the fields, set the triggers, and test both directions before it goes live.

Which payment gateways can you set up?

Zoho Invoice supports a wide set including Stripe, PayPal, Authorize.net, Square, and Braintree, with regional options depending on where you bill. We help you compare processing rates rather than defaulting to whichever is quickest to connect, set up the one you choose, and test the full path from invoice send through payment to receipt before a client ever sees it.

Can you send automatic payment reminders?

Yes. We build a reminder schedule that runs before the due date and at set intervals after it, with wording that stays professional and gets progressively firmer. Accounts that pass a threshold you set get flagged for a person instead of another automated email. Most clients see the average time to get paid drop noticeably within the first two billing cycles.

Can Zoho Invoice handle recurring billing?

Yes. Retainers, maintenance agreements, and subscription work bill on a schedule you set, with automatic card charging where the client has authorized it. We configure the amounts, the frequency, the start and end dates, and what happens when a card fails, then watch the first few cycles to confirm the right clients are billed correctly before stepping back.

Can you move our invoices from QuickBooks or FreshBooks?

Yes. We migrate customers, items, open invoices, and history from QuickBooks, FreshBooks, Wave, Harvest, or spreadsheets. Duplicates get merged, inactive contacts get retired, and opening balances get checked against your existing records before you bill anyone from Zoho. Larger migrations are scoped separately from the monthly subscription, so you know that cost up front rather than after the fact.

Does Zoho Invoice handle multiple currencies and taxes?

Yes. We configure the currencies you bill in with exchange rate handling, and set up your tax rates and rules for the jurisdictions you sell into. Then we test the totals and the reports before anything reaches a client, because a tax setup that looks correct on an invoice and wrong in a report causes problems months later at exactly the wrong time.

Can Zoho Invoice connect to tools outside Zoho?

Yes. We connect Invoice to what you already run through Zapier, webhooks, or the API, including your website, scheduling software, project tools, and payment processors. We also monitor those connections, because an integration that breaks quietly is the kind of thing people discover a month and several unbilled jobs later, when the fix costs a lot more than the check would have.

Do we need Zoho One, or is Zoho Invoice enough?

If invoicing is the only thing you run in Zoho, the standalone plan is enough and we will say so. Once you are paying for three or four apps separately, Zoho One usually costs less and gets managed as one environment rather than several disconnected ones. We look at what you actually use and recommend the cheaper path, even when that is the smaller plan.

Who owns the account and the invoice data?

You do. Everything lives inside your own Zoho subscription under your company name, and we work inside it as a managed provider. Your invoices, customers, payment records, and history belong to you. If you ever decide to move on, you keep the account and the data, and we hand over cleanly. Nothing sits behind a Cascadia login that you cannot reach yourself.
