We build the structure
A knowledge base with no hierarchy is a folder of documents. We design the spaces, manuals, and chapters around how your team actually looks things up, then set the permissions so each group sees the right material.
Managed Zoho Learn
Every company runs on knowledge that lives in somebody’s head, a stale PDF, or a chat thread nobody can find again. Managed Zoho Learn turns that into manuals your team actually searches and courses new hires actually finish.
With Cascadia you get
A knowledge base with no hierarchy is a folder of documents. We design the spaces, manuals, and chapters around how your team actually looks things up, then set the permissions so each group sees the right material.
Most documentation projects stall because the person who knows the process has no time to write it down. We interview them, draft the article, and send it back for a five minute review.
A forty slide deck with a quiz on the end is not training. We break material into short lessons, add checks that confirm somebody understood rather than skimmed, and sequence them into paths so a new hire always knows what comes next without asking a manager.
What you get
All 26 of these come with Managed Zoho Learn, set up and looked after by our team.
Tell us how your team uses Zoho Learn and we will take it from there.
Anybody can create a knowledge base. Keeping a hundred articles accurate, courses current, and completion records defensible while the business keeps changing is a different job, and it is the first thing dropped when a quarter gets busy.
| What to compare | How Cascadia handles it |
|---|---|
| Getting an article updated | Under a subscription you send the change and it is published within two business days, with the related articles checked for the same mistake. |
| Content that goes quietly stale | We run a review cycle on a schedule and flag aging articles, rather than waiting for somebody to follow the wrong steps and cause a problem. |
| Onboarding that rests on one person | A course delivers the same material every time, whether or not that person is at their desk. |
| Proving training actually happened | We keep assignments and completions recorded as they happen, so the answer takes a minute rather than most of a week. |
| Growing into the rest of Zoho | We manage the wider Zoho environment, so courses can key off People and Desk articles can reuse the same source, and we flag when Zoho One costs less than adding apps one by one. |
| What it costs next month | A flat monthly rate makes the cost predictable and puts the incentive on us to keep your library current rather than billable. |

“Cascadia is very responsive and we’re happy with them as our primary IT vendor.”
“They do great work, been using for years. Prompt responses to requests.”
When you add people every month, walking each one through the same process personally stops being possible somewhere around the fifth hire. We build the onboarding path once, assign it automatically on a start date, and show you who is where in it without anybody asking a manager.
Get startedConfluence exports, Google Docs folders, and a Notion workspace three people still use all end up in the same place, which is nowhere useful. We migrate the material that matters, drop what nobody has opened in a year, and give the rest a structure people can search.
Get startedWhen agents rewrite the same explanation daily, that answer belongs in a manual rather than in fifty separate tickets. We turn recurring Desk responses into articles, keep them accurate as the product changes, and publish the ones customers should be able to find themselves.
Get startedWhether you are starting from nothing or untangling four years of scattered documents, the sequence is the same.
We collect everything that counts as documentation today, including the drive folder, the wiki nobody maintains, the onboarding checklist in a spreadsheet, and the process that exists only in somebody’s memory. For each piece we note whether it is accurate, who owns it, and whether anyone has opened it recently.
Get startedWe design the structure first, then migrate what is worth keeping and write what is missing, working from short interviews rather than asking your team to draft anything. Training gets built into lessons and paths with checks that confirm understanding.
Get startedFrom there you send us changes and we make them, usually within two business days. We run review cycles on aging articles, add courses as processes change, assign and chase recurring training, and send a monthly summary of what was updated, who completed what, and what is due for renewal.

See all Zoho servicesManaged Zoho Learn is a monthly service where we build and run your knowledge base and training platform inside your own Zoho account. That covers the structure of your manuals, writing and migrating the articles, building courses and learning paths, setting permissions, connecting Learn to the rest of your Zoho apps, and keeping everything current as your processes change. You own the account and the content. We do the work and stay accountable for it.
Yes. Zoho Learn is part of the Zoho One suite, so if you already hold Zoho One licenses you do not need to buy Learn separately. Whether Zoho One makes sense depends on how many apps you run and how many users you have. If you are only using Learn, a standalone Learn plan is usually cheaper. We review the numbers with you rather than pushing you toward the larger bundle by default.
Yes, and this is where most engagements start. We handle Confluence, Notion, SharePoint, Google Drive folders, and older Zoho Wiki content. The first step is always an audit, because most libraries contain a large amount of material nobody has opened in a year. We move what is accurate, rewrite what is close, and archive the rest rather than carrying the mess across into a clean system.
We do. The most common reason internal documentation projects stall is that the person who knows the process has no time to write it down. We interview them for twenty or thirty minutes, draft the article or lesson, and send it back for a short review. You correct anything we got wrong and approve it. Nobody on your team has to block out an afternoon to write from scratch.
Zoho Learn supports uploading and delivering SCORM packages, which matters if you have already bought third party compliance or safety courses. We handle the upload, test that tracking and completion reporting work correctly, and fit those packages into your learning paths alongside the courses we build natively. If a package misbehaves, we work the issue with Zoho support rather than handing it back to you.
Yes. Zoho Learn can serve a public knowledge portal alongside your internal manuals. We configure which spaces are external, apply your branding and domain, and keep a clear separation so internal material is never exposed by accident. This works well when your support team is answering the same questions repeatedly and those answers would be better sitting on a page customers can find themselves.
By treating review as a scheduled task rather than something that happens when somebody notices. Each manual gets a review interval. Articles that pass their interval without an edit get flagged and worked through with the owner. We also watch what people search for and fail to find, which is usually the fastest way to spot a gap. Nothing about this is automatic. It works because it is somebody’s job.
Yes. Assignments, deadlines, attempts, scores, and completion dates are all recorded, and we configure the reports so managers see their own team without you building anything. For recurring requirements such as annual safety or policy training, we set the recurrence and chase the overdue completions. When an auditor, client, or insurer asks for proof, the answer takes a minute rather than a week of searching email.
The two are complementary. Desk holds your tickets and its own help center, while Learn holds the deeper internal documentation and the training that teaches agents how the work is done. We connect them so support content is written once and reused, and so recurring questions from the ticket queue feed back into new articles. If you run both, we manage the boundary between them so material does not get duplicated.
Yes. We configure a custom domain so your knowledge base sits on your own address rather than a Zoho URL, apply your logo and colors, and set up single sign on so your team uses the login they already have. For the public portal we also handle the certificate and the search engine settings, so customer facing articles can be indexed properly.
A working knowledge base with your first migrated manuals is usually live within two to three weeks. A full onboarding path with courses and assessments typically follows in the month after that, because building good training takes interviews and review cycles that cannot be rushed. Larger migrations from a mature wiki take longer and get scoped separately. You will have something usable well before the whole library is finished.
You do. Every manual, article, course, and learner record lives inside your own Zoho subscription under your company name. We work as administrators within your account rather than holding your content in an agency workspace. If you decide to bring this in house or move to another partner, there is nothing to negotiate and nothing to export, because it was never anywhere else.
Custom video production, professional voiceover, and graphic design beyond screenshots and simple diagrams are quoted separately. So are very large migrations from a mature wiki, custom development against the Learn API, and translation into other languages. Zoho license fees are billed by Zoho directly and are not part of this plan. We will always tell you before something falls outside the subscription rather than after.
We’d love to hear from you!
