What is managed Zoho Mail?

It is a monthly service. We run your company email inside your own Zoho account, which covers migrating the mailboxes, configuring the domain records, keeping your mail out of other people’s spam folders, enforcing the security and retention settings, and handling the day to day administration as staff join and leave. The account, the domain and the data stay yours. The work and the accountability are ours.

Can you migrate us from Google Workspace or Microsoft 365?

Yes. It is the most common reason companies call us in the first place. Messages, folder structure, contacts and calendars all come across, transferred in batches behind a sync window so nothing arriving mid move is lost, and mailbox counts are verified before we touch the MX records. The old platform stays reachable until the new one has proven itself. Then we help you close it down.

How long does a mailbox migration take?

One to three weeks for most small and midsize companies, first call to old platform shutdown. The data transfer itself is usually a few days, and it runs in the background while everyone carries on working. Very large mailboxes, long archives and source platforms with throttled export limits all add time. You get a schedule up front, not a range to interpret.

Will we lose email during the migration?

No. A sync window captures anything that arrives mid transfer, and your MX records do not point at Zoho until the mailboxes are populated and verified. Should something go sideways anyway, the old platform is still live, still reachable, and the change reverses. That rollback path stays open until you tell us the new setup is working.

Why do our emails go to spam, and can you fix it?

Usually one of four things: an SPF record missing a sender, unsigned DKIM, no DMARC policy at all, or leftover records from a previous provider that now contradict each other. Occasionally it is a compromised mailbox sending on your behalf. We work out which, fix the records, chase any blocklist delistings, and then keep reading the reports so it stays fixed.

What are SPF, DKIM, and DMARC, and do we need them?

They are DNS records that prove mail claiming to come from your domain really does. SPF lists who may send. DKIM signs the message. DMARC tells a receiving server what to do when a message fails one of the other two. You need all three, because the major providers now filter or reject unauthenticated mail from business domains.

Do you handle our DNS records?

Yes, at whatever registrar or DNS host you already use. Cloudflare, GoDaddy, Namecheap and Route 53 are all familiar ground. We configure MX, SPF, DKIM, DMARC and autodiscover, confirm propagation, and clear out the leftovers from a previous provider that quietly break authentication. The domain and the account stay in your name, and every record is documented so none of it is a mystery two years from now.

Is Zoho Mail secure enough for a business?

Yes, when somebody configures it on purpose instead of leaving the defaults in place. Two factor authentication gets enforced. Session and device policies, the spam and attachment rules, TLS in transit and S/MIME where messages need it are all set to match how your team actually works, and we review the audit logs for suspicious logins and forwarding rules. Weak configuration and reused passwords cause most email breaches, not the platform.

Can Zoho Mail meet HIPAA or GDPR requirements?

Zoho supports HIPAA compliance features on the plans that include them, and Zoho Mail gives you the retention, consent, and access controls GDPR expects. We configure encryption, set retention and deletion rules, restrict who can view or export mail, enable eDiscovery, and document what is stored where for your compliance reviews. Signing a business associate agreement with Zoho is a step you take directly.

What happens when an employee leaves?

Password changed, active sessions ended, group and shared mailbox access removed, mail forwarded or delegated to whoever is picking up the work. The mailbox is archived or converted rather than left open and consuming a license. Done promptly, that shuts the most common way back into a company’s email after somebody leaves on bad terms.

Do we need Zoho One, or is Zoho Mail enough?

If email is the only Zoho product you touch, the standalone plan is fine. Most companies running business email are also in CRM, Desk or WorkDrive, and once you are at three or four apps the Zoho One license usually comes in under those subscriptions stacked separately. We will tell you which side of that line you are on. Guessing in our own favor would cost us the account eventually.

Who owns the mailboxes and the data?

You do. The domain, the Zoho organization, every mailbox, and the subscription all sit under your company name. We work inside your account rather than holding your mail in ours. If you stop working with us, nothing needs exporting or handing back, and we document how everything is configured so any other provider can pick it up without starting over.

Do you support Outlook and phones, or only the web app?

All of them. We configure Outlook, Apple Mail, and Thunderbird on desktops, and the Zoho Mail app or native mail client on iPhone and Android. That includes app passwords, calendar and contact sync, and shared mailbox access. When somebody gets a new laptop or phone, setting it up is part of the service rather than something you file a ticket about.
