Every new state means a registration, its own rates, and rules about who withholds what when somebody lives in one state and works in another. We configure each one, assign staff by work and residence location, and tell you what you need to register for before the first run exposes the gap.
If your accounting already lives in Zoho Books, payroll belongs in the same place. We map wages, taxes, and employer costs to the right accounts and check every run posts cleanly, so your bookkeeper stops rebuilding journal entries by hand and the liability accounts reconcile at month end.
Payroll landed on you because it landed on somebody, and now it eats a day every cycle and follows you on vacation. We take the run, the onboarding, and the filing checks, and leave you the approval.
We configure your company profile, EIN, state registrations, deposit schedule, and unemployment rates, then load employees and contractors with their withholding details, pay rates, schedules, and direct deposit. If you are switching providers we bring the year to date figures across and reconcile them against your last filed quarter before anything goes live.

It is a monthly service where we operate your payroll inside Zoho Payroll rather than handing you a login and a help article. We set up the pay schedules, onboard employees and contractors, configure benefits and deductions, prepare every pay run for your approval, reconcile the journals into Zoho Books, and watch that the tax filings landed. The subscription stays in your name and the work stays with us.
Do you actually file our payroll taxes?
Zoho Payroll files them. The platform remits federal, state, and local taxes and submits the returns automatically once the tax profile is configured correctly. Our job is to configure that profile accurately, assign every employee to the right jurisdiction, then verify each filing and deposit actually went through and chase anything rejected. We are not your tax agent or a PEO, and we tell you that plainly rather than after something goes wrong.
Which US states does Zoho Payroll support?
The US edition covers all 50 states, handling federal, state, and local tax with automatic filing to the relevant agencies. State programs such as unemployment insurance, disability, and paid family leave are applied based on each employee’s work and residence location. If you hire into a new state, tell us early, because the state registration usually has to exist before the first run in that state.
Can you run payroll for employees in several states?
Yes, and this is one of the more common reasons people call us. Multi state payroll means separate registrations, separate rates, and reciprocity rules between neighboring states. We configure each state, assign staff by work and residence location, and flag where you need a registration you do not have yet. Year end W-2s then allocate wages per state correctly instead of producing a mess in January.
How does approval work before a pay run goes out?
We prepare the run and send it for your approval. You see gross pay, deductions, taxes, employer cost, and anything we flagged as unusual, such as an unexpected overtime spike or a rate change we cannot match to an instruction. Nothing is submitted until you approve. If you would rather approve on a standing basis for unchanged salaried runs, we can set that up.
What happens when we need to pay someone off cycle?
Bonuses, commission payouts, final paychecks, and corrections to a run that already went out all get processed as off cycle runs. Send us the detail and we build it, work out the tax treatment, and process it that week rather than waiting for the next scheduled period. Corrections are handled the same way, so a mistake does not sit on someone’s paycheck for a month.
Does Zoho Payroll connect to Zoho Books?
Yes, and the mapping is where it usually goes wrong. We map wages, employee and employer taxes, benefit deductions, and reimbursements to the correct accounts, connect the sync, and check that each run posts cleanly. Your bookkeeper stops rebuilding payroll entries by hand and the payroll liability accounts actually reconcile at month end.
Can you connect Zoho People and Zoho Expense?
Yes. Zoho People carries employee records, leave balances, and attendance, and pushing that into payroll removes the most common source of pay run errors. Zoho Expense sends approved reimbursements straight into the run with the right taxable or non taxable treatment. One change updates everywhere instead of being entered three times and disagreeing in two of them.
How do you handle contractors and 1099 filing?
Contractors are configured separately from employees because the classification, the tax treatment, and the year end forms all differ. We keep the payment history clean through the year, then prepare the 1099 reporting ahead of the deadline. If you are unsure whether someone should be a contractor or an employee, that is a question for your accountant or attorney, and we will say so.
What happens at year end?
We reconcile the year through the fourth quarter, review the W-2 and 1099 previews before anything is distributed, and look for the problems that actually appear, which are usually wrong addresses, missing Social Security numbers, and totals that do not tie to the quarterly filings. We correct those, confirm distribution, and tell you it is done.
Is Zoho Payroll included in Zoho One?
Zoho Payroll is available as part of the Zoho One suite, though the exact inclusion and any per employee charges depend on your region and plan, so confirm the current terms with Zoho or with us before assuming. If you already run several Zoho apps, our Managed Zoho One plan covers every app you use under one monthly management fee, which usually beats paying for four or more individual app plans.
How does Zoho Payroll compare to Gusto or ADP?
Gusto and ADP are mature standalone payroll platforms with deeper benefits brokerage and HR services attached. Zoho Payroll costs considerably less and its real advantage is that it sits inside the suite you already use, so Books, People, and Expense connect natively rather than through a paid connector. If payroll is your only Zoho product, the case is weaker. If you run the suite, it is usually the obvious choice.
What if we are switching from another payroll provider?
Mid year migrations need the year to date figures brought across accurately, or the W-2s will be wrong. We collect the prior wages, taxes withheld, and benefit contributions from your outgoing provider, load them, and reconcile against the last filed quarter before the first live run. We generally prefer moving at a quarter boundary, and we will tell you if your timing makes that difficult.
What size company is this service for?
The flat rate covers up to 50 employees, which suits most small and midsize businesses running Zoho. Below about five employees the management fee is usually hard to justify unless your payroll is genuinely complicated. Above 50 we quote separately, because headcount, multi state exposure, and the number of pay schedules drive the real work more than the employee count alone.
