That covers process discovery, agent setup, building the automation flows themselves, scheduling and triggers, exception handling, credential governance, run monitoring, and the reporting on what the bots actually did. It also covers the ongoing changes, so a flow that breaks when a vendor redesigns a screen gets repaired rather than quietly abandoned.
Zoho RPA is Zoho’s robotic process automation product. It drives software the way a person does, by clicking, typing, and reading what appears on screen, which lets it automate systems that offer no integration. It handles web automation, desktop and legacy application automation, document and data extraction, scheduled and event based triggers, run queues, and error handling, and it connects to Zoho CRM, Books, Flow, and Analytics.
Zoho RPA is licensed separately from the standard Zoho One bundle, so check your current plan before assuming it is included. Our Managed Zoho One service is about management rather than licensing: it covers every Zoho application you run under one monthly fee, RPA included. They solve different problems. Zoho Flow connects applications through supported APIs, which is steadier and should be your first choice wherever it works. RPA is for the systems that offer nothing to connect to, meaning legacy desktop software, vendor portals, and web apps with no integration. We use Flow where Flow fits and keep RPA for the gaps, rather than driving a screen when a real connection exists.
We find out before you do. Every flow has error branches and retry rules, and we alert on failures and on runs that never started. Broken flows get diagnosed and repaired as part of the monthly rate, and a bot that hits something it does not understand stops cleanly rather than half finishing a record. You get a monthly summary of failures and what we changed.
Yes, and that is usually the reason to use it. RPA works at the interface level, so it does not care whether the target is a Zoho product. We automate vendor portals, banking sites, supplier systems, government filing screens, and internal tools built years ago. Where the target does offer an API, we use that instead, because a supported connection breaks less often than a screen.
Yes. Desktop and legacy automation is often the highest value part of an RPA project, because those are the systems nobody is willing to replace and nobody has integrated. We install and register agents on the machines that run the software, build flows against the actual application windows, and set the run environment so the automation reaches the desktop it needs.
Most clients have a working automation in live use within three to four weeks. The first week is discovery and environment setup, including agents and permissions. The next two go into building and testing the highest value flow against real data, with the exception paths built at the same time rather than added later. After that we work down the ranked list from discovery.
You do. Everything lives inside your own Zoho subscription under your company name, including the flows we build, the run history, and the credentials. Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you. If you bring this in house or move to another provider, the automation is already yours and stays where it is.
Credentials are stored in the vault rather than written into a flow, scoped so each one is only available to the automation that needs it, and rotated on a schedule. We review who can build, run, and approve flows as people join and leave. Run history and logging record which flow touched which field, so an audit question has an answer instead of a guess.
The plan covers up to 25 active automation flows, which is more than most teams reach in the first year. Scheduled runs, exception alerting, and monitoring are included regardless of how many you have. If your volume grows past that, we will tell you before it becomes a problem and price the increase rather than letting the service quietly degrade.
That is rarely what happens. RPA takes the repetitive keying and copying off a person’s week, which usually means the same team handles more work and spends its time on the parts that need judgment. We are explicit in discovery about what a flow will and will not do, and exceptions route to a person by design rather than being guessed at.
