Microsoft Forms alternative

A Microsoft Forms Alternative for When Asking Has Quietly Become a Program

Microsoft Forms costs you nothing. It is already in the Microsoft 365 subscription you are paying for, it works, and for a great many questions it is the correct answer. We are not going to argue with free.

With Cascadia you get

  • Question design comes included
  • Your team stays trained
  • Honest about the tool fit
  • Migrations that keep your history
  • Your account, your data
  • Connected to the rest of Zoho

The short version

Why teams pick Cascadia over Microsoft Forms

We exist for the company asking its customers something every quarter, where the answers are supposed to change what happens next, and where nobody currently owns any part of that.

What you get here

  • Somebody decides what is worth asking before a form gets built
  • The questions written and worded for you, not a blank form to fill in
  • A review of which surveys still earn their send, with the tired ones retired
  • A named owner for the asking, so it does not depend on who has a spare afternoon
  • The person who wrote the first question is still there for the fifth round
  • Leading and double barrelled questions caught before the send, not after
  • Response rates and abandonment watched deliberately, not counted at the end
  • The answer written onto the customer record, not left in a spreadsheet

What ships in the standard plan here

A form built in an afternoon, two hundred replies in a spreadsheet, and nobody assigned to read them.

  • A straight no on the first call if what you have is genuinely an internal poll
  • Reminders, follow ups and response alerts set up and run, not left to memory

Where a free form stops and a survey program starts

Somebody whose job is the asking, the wording, the sending and the reading of what comes back.

Somebody whose actual job this is, rather than a spare afternoon

The decision about what the survey is for, the questions, skip logic and branching, branding, distribution by email, link, embed and QR code, response monitoring, reminders and the reporting.

Forms is cheaper than us forever, and that is the wrong comparison

There is no crossover point and there never will be, because zero is less than three hundred at every headcount. The question is not which tool costs less.

The program does not stop when one person gets busy

Free tools tend to run on one enthusiastic person, and stop the quarter that person is busy.

The answer reaches the customer record, not a spreadsheet

Zoho Survey writes into CRM, Campaigns, Desk and Analytics directly, so a rating lands on the contact record and a poor one can raise a ticket.

Who this comparison is for

There is no plan to choose, and no limit published

There is no pricing table because there is nothing separate to buy. That is a genuine advantage and we will not dress it up as a drawback. The consequence worth knowing is that nothing is committed to either.

The answers land in Excel and stay there

Forms shows real time charts and exports cleanly to Excel, and for an internal question that is the whole job.

It is pointed at your colleagues, not your customers

The examples Microsoft leads with are an all hands meeting, a class quiz and a team poll. Sharing across groups, collaboration, quizzes with video for students.

How switching works

  1. 1

Nothing gets sent until we agree it should not just stay on Forms

The first hour is spent working out whether you need us at all. Plenty of what companies ask us to take on is an internal poll that should stay free and stay in Forms.

  2. 2

We count the forms already out there, and who is quietly running them

The satisfaction form somebody built two years ago, the event sign up still accepting entries, and the one a manager rebuilds by hand each quarter because nobody could find the original.

  3. 3

The questions, the audience and the send schedule get written down

What each question is measuring, who receives it and how often, where the answer goes afterward, and who is accountable for reading it.

  4. 4

You run a full cycle on it, straight through one real send and its follow up

The first cycle runs with us alongside it. Anything that reads badly gets rewritten while we are still there, rather than becoming a question people quietly skip for the next two years.

Microsoft Forms alternative questions

See Managed Zoho Survey
How does Microsoft Forms compare to SurveyMonkey, Qualtrics and Alchemer?

Microsoft Forms is free and comes with a subscription most companies already hold, and it publishes no response limit anywhere. SurveyMonkey starts at thirty a user a month with a three seat minimum, so ninety a month is its real floor. Alchemer starts at fifty five a user a month and caps its self serve plans at three users. Qualtrics publishes no figure at all and meters interactions. On price this is not a contest and Forms wins it outright. None of the four decides what is worth asking.

Is there a catch to Microsoft Forms being free?

Not really, and we are not going to invent one. It is bundled into Microsoft 365, which you are already paying for, and free with a personal account. The only thing worth knowing is that no limits are published, so none are promised, and that Microsoft positions it as a tool for asking rather than as a survey platform.

What can Microsoft Forms not do that we would take on?

Its product page does not describe writing an answer onto a customer record, opening a ticket automatically from a poor score, tying this quarter response to the same customer last quarter, or running an NPS and CSAT program with reminders and follow ups. It also does not describe anybody writing the questions. That last one is not a software gap, it is a staffing one.

What does paying us actually change?

That the asking becomes somebody’s job. The questions get written by a person who has written them before, the sends happen on schedule whether or not your operations manager is busy, the answers reach the customer record, and somebody reads them. None of that is a feature. It is a job, and free software does not fill it.

Microsoft Forms is free. Why would we pay you three hundred a month?

Very often you should not, and this is the page where we say it loudest. If your questions are internal, occasional, and somebody enjoys running them, keep Forms and keep your money. Pay us when the asking is continuous, when the answers are supposed to reach your CRM, and when nobody can name the person responsible for any of it.

At what point does Microsoft Forms stop being the right answer?

Never on price, because free stays free. It stops being the right answer at the point where the asking is recurring, where the answer needs to reach a system rather than a spreadsheet, or where the last two rounds did not go out because everybody was busy. If none of those is true of you, Forms is the right answer and we would rather you kept using it.

Are there limits on how many responses Forms will take?

The product page states none, and we are not going to invent a figure. What that means in practice is that no ceiling is published and therefore none is promised to you. Every paid product on this hub publishes a response allowance in its contract. Forms simply does not discuss it, which is usually fine and is worth knowing before you build something important on it.

Is Microsoft Forms a better product than Zoho Survey?

For asking your own colleagues a question, Forms is better, because it is free, everybody already has it and nobody has to be set up. We would rather say that than pretend otherwise. Zoho Survey wins where the audience is customers rather than staff, where the answer has to reach a record, and where the asking is a program rather than an occasion.

Does Zoho Survey connect to the rest of Zoho?

That is the clearest difference between the two. Survey writes into CRM, Campaigns, Desk and Analytics directly, so a rating lands on the contact record and a poor one can raise a ticket. Forms exports to Excel, and an export is where most feedback stops moving.

What exactly do you do for three hundred a month?

We set up the account and provision users, agree what the survey is for, write the questions, build the skip logic and branching, brand it, distribute by email, link, embed and QR code, watch responses arrive and chase the ones that do not, build the reporting, run your NPS and CSAT programs, and connect it to CRM, Campaigns, Desk, Analytics and Flow. The figure covers the organization and does not move when you hire.

Who holds the Zoho Survey license, you or us?

You do, and that is deliberate. The Survey subscription is bought in your name and stays there. If you stop working with us you keep the account, every question set and every response in it, and carry on without a migration. Zoho Assist is the only service where we carry the license.

Can you move us off Microsoft Forms?

Yes, and it is the easiest migration on this hub, because Forms exports cleanly to Excel and there is nothing proprietary to unpick. We would usually suggest keeping Forms for internal questions and moving only the customer facing ones. Two tools with clear boundaries beats one tool doing a job it was not built for.

Is there a minimum term?

No. Three hundred a month, month to month, thirty days’ notice. Microsoft Forms has no term at all because it has no price, so on commitment as well as cost the honest comparison favors them.

What if we only send one survey a quarter?

Then stay on Forms. One send a quarter that somebody enjoys running is not a program and does not need us. The question worth asking yourself is whether the last four actually went out on time, and whether anybody read the third one. If the answer is no, that is the conversation to have.

What happens if we outgrow Zoho?

Some businesses do. Once the research is longitudinal panel work, complex quota sampling or regulated data collection, the ceiling is real and we will say so before you reach it.
