Setup is included, not extra
Consultancies usually quote an implementation fee to configure the inboxes and routing, then a retainer to look after them. We fold both into one monthly rate with no separate setup charge.
Managed Zoho TeamInbox
Managed Zoho TeamInbox puts a real shared inbox behind your team and keeps it running. We set up the inboxes, mail routing, channels, and assignment rules, build the views, tags, and templates your team works from, connect Zoho CRM and Zoho Desk so every reply carries context, and report response times every month.
With Cascadia you get
Consultancies usually quote an implementation fee to configure the inboxes and routing, then a retainer to look after them. We fold both into one monthly rate with no separate setup charge.
Nobody should file a request to add a tag or edit a template. We train your team on the views, the routing, and the admin settings, and leave written notes behind for the next hire.
TeamInbox is right for a lot of teams and wrong for some. Once your volume needs queues, service levels, and a customer portal, Zoho Desk is the better tool.
What you get
All 20 of these come with Managed Zoho TeamInbox, set up and looked after by our team.
Tell us how your team uses Zoho TeamInbox and we will take it from there.
Anybody can forward a support address to three people and call it a shared inbox. Giving every thread an owner, routing mail so it reaches the right team, keeping templates accurate, and still knowing your response time a year later is the part that usually never gets finished.
| What to compare | How Cascadia handles it |
|---|---|
| Getting the inboxes configured at all | We run setup to an agreed scope and a date, come back to you for decisions on routing and permissions, and hand over an inbox your team can work from on day one rather than one still carrying stock defaults. |
| The settings nobody revisits | We configure each one to your process, then revisit them as teams form and split rather than letting the inbox quietly stop matching how you work. |
| Where a customer reply ends up | We route every shared address into TeamInbox so each message arrives with an owner assigned and its history attached, which means you can finally see how much of the week customer correspondence is consuming. |
| An inbox that stops going stale | We run it on a schedule with your team lead. |
| When you outgrow the tool | Because we run Zoho Desk and the rest of the suite as well, we will say so rather than forcing a workaround, and we will move you across if that is the right call. We also flag when Zoho One costs less than separate app plans. |
| What it costs next month | A flat monthly rate makes the cost predictable and puts the incentive on us to keep it current rather than to bill hours against it. |

TeamInbox is bundled into Zoho One, so plenty of companies are already paying for it and have never opened it. We put that license to work, set the inboxes up inside the account you already have, and connect them to the Desk and CRM sitting next to them.
Get startedIf your support address is a distribution list nobody owns, or a shared mailbox that only opens on one person’s laptop, this is the common exit. We move the addresses properly, carry the history across, and leave you with an inbox your own team can administer.
Get startedWhen support, sales, and billing all answer from the same handful of addresses, threads get dropped between them. We split the inboxes, route by address and sender, and give each team saved views so people see their own work instead of scrolling past everybody else’s.
Get startedWhether you are starting from a forwarding rule or inheriting a shared mailbox nobody understands, the sequence is the same.
We start with what you have, whether that is Google Groups, an Outlook shared mailbox, a forwarding rule, or nothing at all. We agree which addresses need their own inbox and who should see each one, then configure your domain records and mail routing so messages arrive reliably rather than in spam.
Get startedNext come the pieces that make the inbox earn its keep, meaning assignment rules that give every thread an owner on arrival, round robin distribution where load matters, saved views for each role, the tag structure your team will actually apply, response templates for the questions you answer constantly, and automation for out of hours and follow ups. We test each one with your team before you rely on it.
Get startedFrom there you get the integrations and the ongoing work, meaning Zoho CRM context beside each thread, Zoho Desk picking up real support cases, Cliq alerts on aging threads, and Analytics reporting. After that it is new inboxes and rule changes as you grow, template upkeep, and a monthly review of volume, response times, and where threads stalled.

Weighing us against another option? Our comparisons take the main ones in turn.
See the comparisonsIt is an ongoing service where we run your shared inbox for you at a flat monthly rate. We configure the inboxes, routing, assignment rules, views, templates, and automation, connect the channels and the rest of your Zoho account, then keep all of it current as your team changes. You also get monthly reporting on volume and response times, plus unlimited change requests inside the plan.
No. Configuration, channel connections, routing, migration, and team training are all part of the monthly rate. Most consultancies quote an implementation fee first and a retainer afterward. We fold both together because we are the ones maintaining whatever gets built, which gives us every reason to configure it properly the first time rather than quickly.
Either works. TeamInbox has its own standalone plan, and it is also bundled into Zoho One. If you already pay for Zoho One you almost certainly have TeamInbox included and may not have opened it. If you run three or more Zoho apps, Zoho One usually costs less than stacking separate subscriptions, and we will tell you when that crossover point arrives.
A distribution list copies mail to several people and hopes somebody replies. There is no owner, no status, no internal discussion, and no way to tell what was answered. TeamInbox gives each thread an assignee and a state, keeps internal notes attached to the conversation, shows when a colleague is already typing, and reports on how long replies actually take.
Yes, and migration is included. We map your existing group addresses and shared mailboxes onto TeamInbox, bring across the archive where the source platform allows it, carry over your users and their access, and rebuild your routing and tags. The old mailbox stays reachable until your team has signed off on the new setup, so nothing is cut over blind.
TeamInbox handles email plus the messaging channels your customers actually use, including WhatsApp Business, Instagram, and Telegram, alongside your shared addresses. We connect the ones relevant to you and set the routing so a customer who emails on Monday and messages on Thursday does not end up as two unconnected conversations owned by two different people.
As many as your organization needs. The monthly rate is per organization, not per inbox or per user, so adding support, sales, billing, careers, and a partner address costs the same as running one. That matters, because most teams start with a single inbox and discover within a quarter that they need three or four.
No. Everything lives in a Zoho account registered to your company and your admins keep full access. We train your team on the views, the tags, the templates, and the settings they should manage day to day, and leave written notes for the next hire. You send us the structural work when you want it rather than because you have to.
New inboxes and addresses, routing and assignment rule changes, new views and tags, template updates, automation work, channel connections, and report building all count and are included. There is no ticket allowance and no hourly rate. If something about the inbox is annoying your team, the intended response is to tell us rather than to work around it.
We configure first response time, resolution time, and volume reporting broken down by inbox, channel, and person, then set up the saved views and dashboards your leads will check. Each month you get a written summary showing where the numbers moved, which addresses are growing, and where threads stalled, with recommendations rather than a pile of charts.
Yes, and we wire both. Zoho CRM puts the contact, company, and deal context beside the thread so whoever replies knows who they are talking to. Zoho Desk picks up conversations that turn into genuine support cases, arriving as tickets with their history attached. We also connect Cliq for alerts and Analytics for reporting alongside your other data.
Most organizations are live within two to three weeks. Week one covers the inboxes, teams, permissions, and mail routing, which is the part that depends on your DNS and your current mail provider. Week two covers assignment rules, views, tags, templates, and automation. The integrations and reporting follow, and we train your team before you point customers at anything.
You keep everything. The Zoho account, the inboxes, the conversation history, the rules, and the templates are all registered to your company, so there is nothing for us to hand back. We remove our access, leave the documentation with you, and help your team or your next provider pick it up. There is no contract term holding you in place.
Frequently. Plenty of clients run TeamInbox alongside Microsoft 365 or Google Workspace rather than moving everything at once, and that works fine. We handle the mail routing between them and connect what can be connected. We will also tell you plainly when TeamInbox is the wrong fit and something like Zoho Desk suits your volume better.
We’d love to hear from you!
