It gives teams an infinite canvas for whiteboarding, mind maps, flowcharts, diagrams, and kanban planning, with real time collaboration, in-canvas video calls, database tables, and AI assistance. Zoho markets it as Vani by Zoho, though most people search for it as Zoho Vani, and it integrates natively with the rest of the Zoho suite.
Yes. Vani was added to Zoho One in November 2025, so if you already hold Zoho One licenses you have access to it without a separate subscription. A lot of companies are paying for it right now and have never opened it. If you are on Zoho One, our managed Zoho One plan covers Vani alongside every other app rather than charging for it separately.
Vani has a free plan with unlimited Spaces and unlimited collaborators, which is genuinely usable for a small team doing occasional whiteboarding. The paid Team and Business plans add granular Zone controls, advanced diagramming shapes, database tables, external sharing links, guest access, unlimited video meetings, audit trails, and larger AI credit allowances. We help you work out which plan fits before you commit to seats you will not use.
No, and we do not mark it up. Your Vani or Zoho One subscription is billed by Zoho directly to an account registered to your company. Our monthly fee covers the work we do, meaning the design, configuration, integrations, facilitation, training, and ongoing management. Keeping the two separate means you always know what the software costs and what the service costs, and you can leave with your account intact.
Vani covers the same ground as Miro, Lucid, FigJam, and Mural, meaning infinite canvas, templates, diagramming, and real time collaboration, at a noticeably lower price. Where it pulls ahead is the native connection to Zoho CRM, Projects, Cliq, and the rest of the suite, so a planning board links back to the work. Where it is younger, the template ecosystem and third party integrations are still smaller. We will tell you honestly which side of that matters for you.
Most teams have a working structure inside two to three weeks. The first week covers the workspace design, teams, Zones, and permissions. The second covers the template library, diagram standards, and brand styling. The third covers the Zoho integrations and training. If you are migrating boards from Miro or another tool, add a week or two depending on how many are worth bringing across.
In most cases yes, though it is rarely a clean automated export. We review what you have, work out which boards are genuinely still in use, and rebuild those in Vani properly rather than dragging across years of dead canvases. The ones worth keeping usually turn into templates, which is a better outcome than a straight copy. We tell you upfront what will not transfer cleanly.
You do. The Vani account is registered to your company, the Spaces belong to you, and the subscription is in your name. We work inside your account as administrators rather than holding it on your behalf. If you bring the work back in house or move to another provider, there is nothing to hand over because it was never ours to begin with.
You keep everything. Your account, your Spaces, your templates, your diagram libraries, and your integrations stay exactly where they are, and we remove our administrative access. There is no export process and no data to reclaim. We ask for thirty days’ notice so we can write up the current structure and hand your team clean documentation rather than leaving them to work it out.
Both, depending on what you need. Setup and template preparation are included in every plan. For sessions where having a neutral facilitator matters, such as discovery workshops, retrospectives, or client planning meetings, we run the session itself and tidy the output afterward into something readable. Teams that facilitate their own sessions get training and prepared Spaces instead.
Vani supports secure external links that need no sign in, plus guest seats for people who should have a proper account. We configure both, set the scope so an external viewer sees the one Space you meant and nothing around it, and review open links on a regular cycle. Old share links left open indefinitely are the most common quiet risk in any whiteboard tool.
We will say so. Vani suits teams that already run on Zoho and want the visual work connected to the rest of it. If your design team lives in Figma, or you need a specific integration Vani does not have yet, forcing it would waste your money and our time. We look at your stack and your workflow first, then tell you plainly whether it fits.
