A Bitwarden Alternative for Companies Who Will Never Self Host It

Bitwarden Teams is four dollars a user a month, Enterprise is six, seats are unlimited on both, and self hosting costs nothing extra. Bitwarden also says plainly that running your own server takes time and skill. We are what you buy when nobody in the building has either, and what we run is Zoho Vault, at three hundred a month for the whole organization.

With Cascadia you get

  • Migration is included, not extra
  • Your team trained, not locked out
  • We will say when Vault is wrong
  • Access designed before anything imports
  • Your account, your data
  • Connected to the rest of Zoho

The short version

Why teams pick Cascadia over Bitwarden

We exist for the company that bought a good password manager and then discovered that nobody had been given the job of running it.

What you get here

  • The collection structure is designed for your team before anybody starts filling it
  • Who may create a collection, and who may only read one, decided by somebody who knows your org chart
  • A standing review of who still holds what, with a named person accountable for acting on the result
  • One figure for the organization, so hiring five people does not change the bill
  • The person who designed your access model is still the person you reach next quarter
  • A leaver handled as a run book, with every shared credential they touched actually rotated
  • Emergency access and account recovery settled on purpose, before the day you need them
  • The credential lives in the same estate as the client record it belongs to

What ships in the standard plan here

A license at four dollars a head, a server nobody has patched since spring, and a leaver whose shared logins were never rotated.

  • Policy and two step enforcement configured for you, and read again six months later

Where the license ends and the running of it starts

Somebody owns the collection list, and keeps owning it long after the migration week ends.

One organization fee, and it does not move when you hire

Vault setup and user provisioning, migration off whatever you are on now, the collection structure, the sharing and recovery rules, joiner and leaver runs, policy and two step enforcement, and a review on a schedule.

Their license is cheaper than our fee until about seventy five people

Bitwarden Teams at four dollars a user reaches three hundred a month at seventy five people, and Enterprise at six reaches it at fifty.

The decision and the person who made it stay together

The same named person who decided which collections exist and who may open them is the one you reach in March when a contractor needs access for six weeks.

The credential lands where the record already lives

Zoho Vault sits in the same estate as CRM, Desk and Projects, on one directory, one admin console and one bill. Bitwarden is deliberately standalone, which is a strength on its own terms and a second system to administer on ours.

Who this comparison is for

Self hosting is free, and it is also a server you now own

Bitwarden charges nothing extra to run it on your own hardware. Their own answer on the subject adds that it requires technical resources and expertise for server maintenance, security and updates.

The control layer starts on the Enterprise plan

Teams at four dollars gives you SCIM, Directory Connector, groups, event logs and the API.

A named contact is for qualified customers only

The dedicated engagement manager and the dedicated onboarding are Enterprise features, and Bitwarden marks both as being for qualified customers rather than for everyone who pays.

How switching works

  1. 1

Nothing changes until we have watched how the team really shares things today

We start with the spreadsheet, the pinned message and the shared login that three people use. Not the policy you meant to have, the one you actually have.

  2. 2

Every collection, every standing permission and every account nobody has closed gets counted

The collections in daily use, the ones opened for a project that finished in April, the contractor who still holds a key, and the two service accounts whose password has not changed since the person who created them left.

  3. 3

The structure, the sharing rules and the recovery position get written down and agreed

Which collections exist, who may create one, what a contractor gets and for how long, who can trigger account recovery, and what happens in the hour after somebody resigns.

  4. 4

You run a real month on it, with one genuine joiner and one genuine leaver

The first month runs with us beside it. Whatever turns out to be awkward gets changed while we are still in the room, rather than filed for a review that never happens.

Bitwarden alternative questions

Straight answers about switching, pricing, and what moves with you.

See Managed Zoho Vault
How does Bitwarden compare to the other password managers on this hub?

Bitwarden publishes the lowest business pricing of the four compared here and is the only one that is open source and free to self host. 1Password publishes its prices too and is the more polished product. LastPass and Dashlane both render their business pricing client side, so we do not quote a figure for either. All four are measured on this hub against the same question, which is whether anybody is running the vault after it has been bought.

Is the Bitwarden admin console on both business plans?

Both business plans give you administration. Teams includes the public API, event and audit logs retained indefinitely, user groups, Directory Connector, SCIM provisioning and organization two step login through Duo. Enterprise adds the parts most people mean when they say control: passwordless SSO, organization policies, custom roles, the account recovery workflow and Access Intelligence.

Which Bitwarden capabilities sit on the higher plan?

Passwordless SSO integration, organization policies, Access Intelligence, custom roles, the account recovery workflow, a free Families plan for every user, and the option to self host. The dedicated engagement manager and the dedicated onboarding are Enterprise as well, and Bitwarden marks both as being for qualified customers.

What is not on the published plan list?

Who decides what a collection is for and who may create one. Who removes the contractor when the project ends. Who reads the event log. Who patches the server if you choose to self host. Bitwarden hands you every switch and no opinion about which way to set it.

We already pay for Bitwarden. Why would I pay you three hundred a month on top?

Often you should not, and we say so on the first call more than you would expect. If somebody in your business already owns the collection list, runs the leaver process and keeps the server current, you have what we sell and you are paying a great deal less for it. Call us when that person leaves, or when it turns out they were never really doing it.

At what point does Bitwarden stop being the cheaper answer?

On license cost alone, it does not. Teams at four dollars a user reaches three hundred a month at seventy five people and Enterprise at six reaches it at fifty, and our fee sits on top of a Zoho Vault license rather than replacing one. The arithmetic favors Bitwarden at almost any size. What changes the answer is the cost of the work nobody is doing, and that one never appears on either invoice.

Is Bitwarden metered on people or on passwords?

On people. Both business plans are a straight per user monthly charge, with unlimited passwords, unlimited devices and unlimited collections. Encrypted file attachment storage is five gigabytes personal and five for organization items, and it can be expanded.

Is Bitwarden a better product than Zoho Vault?

Taken on its own, as a password manager and nothing else, we would generally say yes. It is open source, audited in public, cheaper, and it self hosts. Zoho Vault gets chosen for a different reason, which is that it sits inside an estate you are already running. If Zoho is not that estate for you, this comparison probably ends here and Bitwarden is the sensible pick.

Does Zoho Vault connect to the rest of Zoho?

That is the reason to choose it. Vault sits alongside CRM, Desk, Projects and the rest on one directory, one admin console and one bill. A credential ends up beside the client record it belongs to, instead of in a second system with its own user list to maintain.

What exactly do you do for three hundred a month?

We set up the vault and provision your users, migrate you off whatever you are on now, design the collection structure and the sharing rules, configure policy and two step enforcement, run joiners and leavers, review standing access on a schedule, and stay reachable about any of it. One figure for the organization, month to month.

Who holds the Zoho Vault license, you or us?

You do, and that is deliberate. The Vault subscription is bought in your name and stays in your name, so if you ever stop working with us you keep the vault, the data and the account. Our three hundred is a management fee and nothing else.

Can you move us off Bitwarden?

Yes. Bitwarden supports encrypted export, so the data itself moves cleanly and that is not the hard part. The time goes into deciding what the structure should be on the other side, rather than copying across a collection list that grew by accident over four years. If you are self hosted we will also want a conversation about what happens to the server.

Is there a minimum term?

No. Three hundred a month, month to month, thirty days’ notice. There is no setup fee, no annual prepayment, and no tier above this one that unlocks the parts that matter.

What if we are only five people?

Then buy Bitwarden Teams at four dollars a head, or start on the free tier, and do not pay us anything at all. At five people the collection list is short enough to hold in your head. Come back when it is not.

What happens if we outgrow Zoho?

Some businesses do. Once what you are running is manufacturing, stock across several locations or a chart of accounts a spreadsheet cannot hold, the estate stops being the right shape and we will say so.
