Zoho WorkDrive is a cloud file platform built for teams. Files live in shared Team Folders, so ownership belongs to the company and not to whoever happened to create the document. It includes the Writer, Sheet, and Show editors, version history, granular permissions, external sharing with expiry controls, desktop sync through TrueSync, and admin reporting on access and storage.
Yes. Our fee covers running WorkDrive, not the Zoho license, and the subscription stays in an account registered to your company. If you already have Zoho One, WorkDrive is included in it along with a storage allocation, so plenty of companies are paying for it already and have never set it up. We will tell you which position you are in before you commit.
Yes, and it is the most common reason people call us about WorkDrive. We handle Google Drive, Dropbox, Box, OneDrive, SharePoint, and local file servers. The work covers exporting your content, removing duplicates and abandoned versions, agreeing what gets archived, rebuilding the structure in Team Folders, and mapping old sharing permissions onto WorkDrive roles so nobody arrives on Monday locked out.
Two to four weeks from kickoff to cutover for most organizations. The file transfer is often the fastest part. What takes the time is deciding the Team Folder structure and working out who should see what, then clearing years of accumulated duplicates before they get copied into the new system. Several terabytes sitting on an old file server takes longer, and we agree that timeline in writing before starting.
My Folders is personal space tied to one user account. A Team Folder belongs to the organization, so membership, roles, and ownership sit with the company. Anything the business depends on belongs in a Team Folder. When the person who built it leaves, the files stay exactly where they are and nobody has to recover them from a deactivated account.
Storage is pooled across the organization, and the amount depends on your WorkDrive plan or your Zoho One subscription. We track consumption by Team Folder, flag what is growing and why, and archive material that does not need to sit in live storage. If a plan change is genuinely needed, you hear about it before you hit the limit.
Yes. TrueSync puts WorkDrive on the desktop as a mapped drive on Windows and a mounted volume on Mac, so files open from File Explorer or Finder the way a network drive does. Content streams on demand instead of downloading everything, and you can mark specific folders for offline access. The iOS and Android apps cover phones and tablets. One limitation to plan around: TrueSync is not available to client users, who work in the browser.
Yes. External collaborators can be given guest access scoped to a single folder without needing a paid seat, or you can send a share link. We set the organization policy for links, covering password protection, expiry dates, and download limits, then review the external user list every month so contractors do not keep access long after a project finishes.
Their access goes the day they leave. Team Folder content stays where it is, and anything in their private space transfers to a named owner before the account is deactivated. We write this into an offboarding runbook so it happens the same way every time.
Almost always. Deleted files sit in trash for a configured period, and administrators can restore content a user has already emptied. Version history rolls a file back to an earlier state, which matters more often than deletion does, because the usual problem is somebody overwriting a document. We test a restore during setup.
WorkDrive is closer to Google Drive with shared drives than to consumer Dropbox. The real differences are in control: the Team Folder permission model is more granular, and the external sharing defaults are tighter. Google Workspace has broader third party app support, and that is a fair reason to stay where you are. Pricing depends on your seat count and plan tier, so we run that comparison against your actual numbers instead of quoting a headline figure. If you already pay for Zoho One, WorkDrive is in there.
You do. The WorkDrive organization, the files, the version history, and the Zoho subscription sit in an account registered to your company, with your people as administrators. We work inside your account. Nothing needs handing back, because it was never anywhere else.
It depends how much Zoho you run. If WorkDrive is the only app you need, the standalone plan is the cheaper answer. Once you are using three or four apps, meaning CRM, Mail, Books, Desk, and the rest, Zoho One usually costs less than the separate subscriptions and includes WorkDrive storage. We will run that comparison against your actual app list.
