The free account cannot share anything

Microsoft states it plainly on the free tier. Upgrade to Pro or Premium to share reports. The free account authors beautifully and shows the result to precisely one person.

The capable half sits on Premium Per User

Advanced AI, advanced dataflows, advanced datamarts and XMLA endpoint read and write are all absent from Pro and present on Premium Per User. Pro caps the model at one gigabyte and refreshes eight times a day.

Even the capacity SKUs still need a Pro license

Microsoft’s own footnote is worth reading twice. A Power BI Pro license is required for all Premium and Fabric capacity SKUs in order to publish content.

How does Power BI compare to Tableau, Qlik and Domo?

Power BI is the cheapest of the four by a clear margin, at fourteen dollars a user a month on Pro, and free inside Microsoft 365 E5. Tableau starts at fifteen but only on an annual contract. Qlik is metered on how much data you load, from three hundred a month for ten users. Domo publishes no figure at all. All four will render a chart correctly. None of them decides which chart your business actually needs.

Is the free Power BI account actually usable?

For one person, yes. You can author in Power BI Desktop and build genuinely good reports. What you cannot do is publish or share them. Microsoft says so directly on the pricing page. The moment a second person needs to open your report, somebody is buying a license.

Which Power BI capabilities sit on the higher tier?

Advanced AI, advanced dataflows, advanced datamarts and XMLA endpoint read and write are all absent from Pro. Pro allows a one gigabyte model and eight refreshes a day with ten gigabytes of storage per license. Premium Per User allows a hundred gigabyte model, forty eight refreshes a day and a hundred terabytes. Access to Fabric workloads and Copilot in Fabric require capacity rather than either per user tier.

We already have Power BI for free. Why would I pay you five hundred a month?

That is the fairest question on this page, and often the answer is that you should not. If somebody in your building already owns the semantic model and builds against it, you would be paying us to duplicate work that is happening. The case for us is not that Power BI is expensive, because it is not. It is that a free license nobody opens produces exactly as much reporting as no license at all.

At what point does Power BI stop being the cheaper answer?

On license cost alone, at about thirty six people, and if Power BI came bundled in your E5 agreement it never does. We are not going to dress that up. Microsoft wins the price comparison outright. What the license does not buy at any headcount is the person who models the data and builds the report, and that is the only thing we are selling. You buy the Zoho Analytics license separately.

Is Power BI metered on people or on capacity?

Both, and the interaction is where the cost surprises people. Pro and Premium Per User are per user per month. Fabric and Premium capacity are bought as capacity. Microsoft’s own footnote states that a Pro license is still required for every capacity SKU in order to publish, and that letting people read without their own license only begins at F64 and P1.

Is Power BI a better product than Zoho Analytics?

At the top end, yes. Power BI scales further, models bigger data and costs less per seat, and we would rather say that than pretend otherwise. Zoho Analytics wins on a narrower point. If your operational records already live in Zoho, it reads them natively, and bought from us it arrives with somebody to build in it.

Does Zoho Analytics connect to the rest of Zoho?

That is the reason to choose it. Analytics reads CRM, Books, Desk, Projects and the rest of the estate directly. If your business already runs on Zoho, that removes the export step that most Power BI deployments quietly depend on.

What exactly do you do for five hundred a month?

We set up the workspace and provision your users, connect and test every data source, build the semantic model, design and build the dashboards, set refresh schedules and watch them, configure sharing and scheduled delivery, and rebuild when the questions change. The figure covers the organization and does not move when you hire.

Who holds the Zoho Analytics license, you or us?

You do, and that is deliberate. The Analytics subscription is bought in your name and stays there. If you stop working with us you keep the workspace, the model and every dashboard in it, and carry on without a migration. Zoho Assist is the only service where we carry the license.

Can you move us off Power BI?

Yes, though we will ask first whether you should. If the reports work and somebody owns them, keeping Power BI and paying us nothing is the better answer. Where we do move you, the rebuild settles every measure against one definition rather than carrying two conflicting ones across.

Is there a minimum term?

No. Five hundred a month, month to month, thirty days’ notice. Power BI Pro and Premium Per User are both quoted paid yearly, so compare the commitment alongside the number.

What if we are only five people?

Then use Power BI and keep your five hundred dollars, and if you are on E5 it costs you nothing at all. At five people the reporting is small enough for one person to hold in their head. Come back when that stops being true.

What happens if we outgrow Zoho?

Some businesses do. Once the reporting question is manufacturing throughput, multi entity consolidation or serious inventory volume, the ceiling is real and we will say so before you reach it.
