Managed Zoho FSM is a monthly service where we set up and run Zoho FSM inside your own Zoho account. That covers work order templates, the dispatch board, scheduling rules, the technician mobile app, estimates and invoicing, the customer portal, and the integrations into CRM and Books. You own the account and the data. We do the configuration work and stay accountable for keeping it running as your operation changes.
Is Zoho FSM included in Zoho One?
Yes. Zoho FSM is part of the Zoho One suite, so a Zoho One subscription gives you access to it without a separate FSM license. If you are already on Zoho One, or heading that way, our Managed Zoho One plan covers FSM alongside CRM, Books, Desk, Inventory, and the rest under one monthly management fee rather than app by app pricing.
Do I need Zoho CRM to use Zoho FSM?
No. Zoho FSM runs on its own and holds its own customer and contact records. That said, most field businesses already sell before they service, and keeping quotes in one system and jobs in another creates duplicate customers fast. If you run CRM, we wire the two together and decide which system owns each field so they stay in step.
How long does a Zoho FSM implementation take?
A straightforward setup with a handful of job types and one territory is usually live in two to three weeks. Larger operations with multiple crews, contract pricing, and an accounting integration typically take four to six weeks. We work in stages, so dispatch and the mobile app usually go live before the billing and reporting work is finished.
Can technicians use the app without a signal?
Yes. The Zoho FSM mobile app supports offline work, and we configure it so a technician can open a job, complete tasks, record readings, take photos, and capture a customer signature with no connection at all. Everything syncs when the phone finds a signal again. We test this during rollout rather than assuming it, because crawl spaces and rural routes are where it matters.
Does Zoho FSM integrate with QuickBooks?
Yes, and plenty of our clients keep QuickBooks rather than moving to Zoho Books. We connect the two so invoices, payments, and customer records flow across instead of being entered twice, using the available integration or Zoho Flow depending on your setup. We also monitor that connection, since a broken sync usually shows up as a month end mismatch weeks later.
Can customers book and track their own appointments?
Yes. We set up the customer portal so your clients can request service, see upcoming appointments, approve estimates, view past job history, and pay invoices. Combined with reminder and on the way notifications, this removes most of the calls asking where the technician is, which is usually where your office staff lose the morning.
How does scheduling and dispatch actually work?
Jobs land on a dispatch board that your dispatcher works from. We configure it around your day, with the views and filters you need, appointment durations set by job type, travel buffers, working hours, and skill based rules so only qualified technicians are offered a job. Emergencies can be slotted in and the affected customers notified without rebuilding the day by hand.
What happens to my existing work order data?
We import your customers, service addresses, assets, and price list so the system is useful on day one. Historical job records can come across too, though very large archives are scoped as a separate project since the cleanup usually takes longer than the import. We keep your old system readable during the transition rather than switching everything over in one weekend.
Who owns the Zoho account and the data?
You do. Everything lives inside your own Zoho subscription under your company name, and we work in it as administrators. Nothing sits behind an agency account, so there is no export to negotiate and no leverage held over you. If you bring the work back in house or move to another partner, the system is already yours and stays exactly where it is.
Is my Zoho license included in your fee?
No, and we keep it that way on purpose. Zoho bills you directly for FSM or Zoho One at their published per user rate, and you see exactly what you are paying them. The exception is Managed Zoho One, where licenses can be carried on one invoice if you prefer.
What if I need more than 25 field users?
The standard plan covers up to 25 field users, which fits most operations running a handful of crews. Beyond that we quote based on the number of users, territories, and job types, since a fifty technician operation with contract pricing needs meaningfully more ongoing attention than a five truck company. Tell us your headcount and we will give you a fixed monthly number.
What is the difference between managed Zoho FSM and Managed Zoho One?
Once you are managing four or more apps separately, the bundle is usually cheaper and removes the argument about which app a problem belongs to.
