Zoho Meeting for Webinars, Registrations and Recordings
Video calls are easy until you need them to do a job. Managed Zoho Meeting covers the hosts, the recurring sessions, the webinar production, the registration pages, the reminders, and the recordings, all run inside your own Zoho account.
You do not need a producer on staff or a rehearsal calendar nobody keeps. Tell us the date and the topic, and we build the session, set the presenter roles, run a practice pass with your speakers, and stay on the call while it happens.
Registrants become CRM records
A webinar list sitting in a spreadsheet is not a pipeline. Registration forms map straight into your CRM with source tracking attached, attendance writes back against the contact, and the follow up splits by who actually showed.
Recordings get managed, not stockpiled
Storage fills quietly and then a session fails to record. We name and file every recording consistently, set a retention policy you agreed to, and review the space monthly.

Managed Zoho Meeting compared with running it in house
Anybody can start a video call. Running a webinar people actually attend, keeping host licenses tidy, getting recordings filed, keeping outsiders out of client calls, and making sure any of it reaches CRM is a different job.
What to compare
How Cascadia handles it
Getting a webinar set up
Under a subscription you send the date and we build the session, the registration page, the reminders, and the follow up, with a rehearsal booked in first.
Registrants that never reach CRM
We map registration and attendance into CRM automatically, then check the mapping rather than waiting for a rep to ask where the webinar leads went.
Host seats nobody remembers buying
We audit them quarterly, reassign the recurring meetings tied to departed staff, and tell you which seats you can safely drop.
Proving what an event produced
We capture the source and the UTM values at signup and carry them into CRM and onto the deal, so the event has a figure attached when you ask.
Growing into the rest of Zoho
We manage the wider Zoho environment, so when a scheduling problem is really a calendar sync problem, we say so, and we flag when Zoho One costs less than adding apps one by one.
What it costs next month
A flat monthly rate makes the cost predictable and puts the incentive on us to keep your sessions working rather than billable.

When the webinar is the offer, registration and follow up matter more than the call itself. We build the registration page, capture source and UTM values at signup, run the reminder sequence, and split the follow up by who attended, so the event produces something measurable.
Most switches stall over the invites already sitting in hundreds of calendars. We rebuild the recurring sessions and booking links in Zoho, update the invites so attendees get the new details, export the recordings worth keeping, and run both platforms until your last scheduled event has passed.
Reps lose time to scheduling email and lose context when calls never reach the CRM. We set up the booking links, generate the meeting automatically on booking, and log the call, the attendees, and the outcome against the deal, so the activity history is real rather than remembered.
We start by listing every host seat, recurring meeting, booking link, webinar, and integration attached to your account, including the weekly sync somebody scheduled for a team that no longer exists. For each one we record who owns it, who joins, where the recordings land, and whether it still serves a purpose.
We set the security and recording policy first, because it decides everything downstream. Then we provision the hosts, connect the calendars, wire the CRM sync in both directions, and build the booking links and registration pages you need.
From there you send us requests and we handle them, usually within a day or two. We run your webinars live, watch the sync and the storage, keep the host list current as people join and leave, and send a monthly summary of what ran, who attended, what broke, and what we fixed.
Pricing depends on the size of your setup and how much of it you want us to run. Tell us what you have today and we will put a number to it, with no obligation.
Managed Zoho Meeting is a flat monthly service where we run the platform for you. We handle host provisioning, meeting and webinar setup, registration pages, reminders, recordings, CRM logging, security settings, and reporting. You get a team that configures the account properly once and then keeps it working as your staff, your calendars, and your event schedule change. You send requests and we make the changes.
What is the difference between Zoho Meeting and Zoho Webinar?
They are two modes of the same product. Meeting is a two way session where everybody can talk and share, which suits internal calls, demos, and client work. Webinar is a broadcast where presenters speak and the audience interacts through registration, polls, and questions. Webinar plans carry larger audience limits plus the registration and reporting features events need. We manage both under the same plan.
Is Zoho Meeting free?
Zoho offers a free tier with limits on participants, session length, and recording storage, and it is genuinely usable for small internal calls. It runs out quickly once you need webinars, registration, longer sessions, or recordings you intend to keep. Our service manages whichever plan you hold, including the free one, though most clients need paid features within the first month of running real sessions.
How does Zoho Meeting compare to Zoom?
For most teams the in call experience is close enough that the decision comes down to everything around it. Zoho Meeting costs less per host, runs in a browser with no install for attendees, and logs straight into Zoho CRM without a connector. Zoom has broader third party integration and more name recognition with outside participants. If you already run Zoho, Meeting is usually the cheaper and better connected choice.
Do we need Zoho CRM to use this?
No. Zoho Meeting works on its own and we manage it either way. The service is worth more with CRM in place, because meetings, attendees, and webinar registrations log against real records and your activity history stops depending on whether a rep remembered to write a note. Without CRM we still handle scheduling, webinars, recordings, security, and reporting.
Whose account does everything live in?
Yours. The Zoho subscription sits in your company name, and every meeting, recording, registration page, and report lives inside it. We work as an administrator on your account. If you stop the service, nothing has to be exported or handed back, because it was never held anywhere else. You remove our access and everything keeps running as before.
How long does setup take?
Most accounts are configured within two to three weeks. The first week covers the audit, the host provisioning, and the security and recording policy. The second covers CRM sync, calendar integration, and booking links. Webinar work adds about a week when you have an event coming, mostly because registration pages and reminder sequences need your input on the messaging.
Can you migrate us from Zoom, Teams, or GoToMeeting?
Yes, and it is less painful than people expect, because meetings are not really data you have to carry across. We rebuild the recurring sessions, the booking links, and the webinar registration flows in Zoho, update the invites so existing attendees get the new link, and export the recordings worth keeping. Both platforms run in parallel until your last scheduled event on the old one has passed.
How many people can join a meeting or webinar?
That depends on the Zoho plan you hold. Meeting sessions cap at a few hundred participants on the higher tiers, and Webinar scales considerably further, with the audience limit set by the plan you buy. Zoho revises these limits periodically, so rather than quote a number that ages badly, we size the plan against your largest recurring session and your biggest planned event.
Where do recordings live and how long are they kept?
Recordings sit in your Zoho account against the storage your plan includes. We set a retention policy with you during setup, usually keeping client and webinar recordings longer than internal calls, and we archive or remove the rest on that schedule. Storage gets reviewed monthly, so you learn you are near the limit before a session fails to record rather than after.
Do attendees need to install anything?
No. Attendees join from a browser using the link in the invite, on desktop or mobile, with no account and no download. Hosts often prefer the desktop app because screen sharing and controls are smoother, and we set that up for the people running sessions. For webinars this matters a lot, since every install step costs you registrants who never show up.
How do requests and changes work month to month?
You email or message the request and we handle it, usually within a day or two. Scheduling a webinar, adding a host, changing a registration page, fixing a broken calendar sync, and adjusting a recording policy are all part of the plan rather than separate quotes. Live event support needs a few days’ notice so we can run a rehearsal with your presenters first.
