How does Zoom compare to Microsoft Teams, Google Meet and Webex?

Microsoft Teams is the only one of the four publishing a price we could actually fetch, at four dollars a user a month for Teams Essentials paid yearly and seven for Microsoft 365 Business Basic. Google Meet is sold inside Google Workspace, and Webex prints a free tier at zero dollars and a let us talk on Enterprise. Beyond that, Zoom, Webex and Google all render their paid figures in the browser rather than in the page. All four will start a meeting at the time you asked for. None of them decides how your sessions should be shaped.

Does a Zoom license give you the whole platform?

No, and this is the part worth reading twice. Cloud recording is ten gigabytes per license on Pro and Business and only becomes unlimited at Enterprise. Single sign on and managed domains begin at Business. Translated captions, customer managed keys and both survivability features are Enterprise. A larger room is a Large Meeting add on rather than a tier. We will not go further than that, because the full feature matrix sits in a table we have not read line by line.

Which Zoom capabilities sit outside the plan you first buy?

Single sign on, managed domains, the admin portal, branding and the LTI integration all begin at Business. Information barriers, the archiving API and the data loss prevention API are Business and above. Translated captions, end to end encryption for Zoom Phone, customer managed keys, virtual desktop support and both survivability features are Enterprise only, as is unlimited cloud recording. Below Enterprise you have ten gigabytes of recording per license.

We already pay for Zoom. Why would I pay you three hundred a month on top?

Often you should not, and we say so regularly. If somebody already owns the host list, reviews what is in the recordings folder and fixes the registration pages when they misbehave, you would be paying us to duplicate work that is already getting done. Call us when that person leaves, or when nobody can name who it is.

At what point does Zoom stop being the cheaper answer?

We cannot give you that number, because Zoom does not publish one we could fetch. The shape of it is simple enough. Zoom charges for each host and we charge for the organization, so their figure rises every time another person needs to schedule and ours does not. Somewhere above a certain number of hosts we cost less, and below it they do. Bring the renewal quote in front of you to the call and we will work it out with you. Keep in mind the two numbers are not the same kind of thing either. Theirs is software. Ours is somebody configuring and watching it, and you buy the Zoho Meeting license separately.

Is Zoom metered on hosts or on participants?

On hosts, and that is the part people miss. Participants join free and need no Zoom account at all, which is genuinely generous and worth saying plainly. What you are buying is the right for a named person to schedule, and two people who need to run separate meetings at the same time need two licenses between them. So the bill tracks how many people schedule rather than how many attend, and neither number has anything to do with how much configuration work your setup actually needs, which is the only thing that predicts how much of somebody’s week this takes.

Is Zoom a better product than Zoho Meeting?

As a standalone meeting platform, yes, and it is not especially close. The client holds up better on bad hardware and worse connections, the room and device range has no Zoho equivalent at all, and at a thousand participants Zoom is simply built for it. We would rather say that than pretend otherwise. Zoho Meeting wins on a narrower point. It already sits in the estate where your customers, your deals and your reporting live, so a registration and the lead it creates stop being two systems, and bought from us it arrives with somebody to run it.

Does Zoho Meeting connect to the rest of Zoho?

That is the reason to choose it. Meeting writes into CRM and Analytics directly, so somebody registering for your webinar lands on the same record your sales team already works from, and the attendance reaches your reporting without anybody exporting a spreadsheet afterward.

What exactly do you do for three hundred a month?

We set up the organization and the hosts, build the meeting and webinar templates, write the registration pages and tune the reminder sequences, decide and configure the recording and retention rules, set the co host and waiting room policy, connect whichever dial in options you actually need, build the attendance reporting, and connect it to CRM and Analytics. The figure covers the organization and does not move when your headcount does.

Who holds the Zoho Meeting license, you or us?

You do, and that is deliberate. The subscription is bought in your name and stays there. If you stop working with us you keep the account, every host, every recording and every registration ever taken in it, and carry on without a migration. Zoho Assist is the only service where we carry the license.

Can you move us off Zoom?

Yes, and it involves one step a straight rebuild does not. Alongside rebuilding the templates and moving the recurring meetings across, any standing session nobody can justify gets ended rather than carried over, and any license belonging to somebody who left gets reclaimed rather than renewed. Migrating four dead weekly meetings faithfully is not a migration worth paying for.

Is there a minimum term?

No. Three hundred a month, month to month, thirty days’ notice. Zoom prices its plans by the year on its own page and sells annual terms, so compare the commitment as well as the number, and ask what becomes of your recordings if a license is ever allowed to lapse.

What if only two people ever host anything?

Then buy two Zoom licenses, or sit on the free tier and live with the forty minute cap, and keep your three hundred dollars. At that size the whole meeting setup is small enough for one person to hold in their head. Come back when that stops being true.

What happens if we outgrow Zoho?

Some businesses do. Once you are running thousand person events, need broadcast grade production, or want every session tied to an enrollment and a completion record, Zoho Meeting is the wrong shape and we will say so before you reach it. For the first two the honest answer is a platform built for exactly that. For the third it is a learning system rather than a meeting one, and we would move you there rather than defend a fit that has stopped working.
