The Managed Way To Replace Spike

Managed Zoho TeamInbox puts a real shared inbox behind your team and keeps it running. We set up the inboxes, mail routing, channels, and assignment rules, build the views, tags, and templates your team works from, connect Zoho CRM and Zoho Desk so every reply carries context, and report response times every month. It all sits inside the Zoho account your company owns, and your team is trained to run it.

With Cascadia you get

  • Setup is included, not extra
  • Your team trained, not locked out
  • We will say when Desk fits better
  • Migrations that keep your history
  • Your account, your data
  • Connected to the rest of Zoho

The short version

Where we go further

A shared inbox has one characteristic failure, and it is the flip side of the reason shared inboxes exist. Everybody can see the message, so nobody is responsible for it.

Your team trained, not locked out

Nobody should file a request to add a tag or edit a template. We train your team on the views, the routing, and the admin settings, and leave written notes behind for the next hire.

We will say when Desk fits better

TeamInbox is right for a lot of teams and wrong for some. Once your volume needs queues, service levels, and a customer portal, Zoho Desk is the better tool.

Migrations that keep your history

Most moves off a distribution list quietly drop the correspondence that made it worth keeping.

Your account, your data

Your inboxes, your conversation history, your customer correspondence, and your Zoho subscription all sit in an account registered to your company. Nothing lives behind an agency login.

Who this comparison is for

Support and sales sharing one address

When support, sales, and billing all answer from the same handful of addresses, threads get dropped between them.

Teams with no dedicated inbox owner

Somewhere between the office manager and the founder, answering the shared address became nobody’s job.

Teams already paying for Zoho One

TeamInbox is bundled into Zoho One, so plenty of companies are already paying for it and have never opened it.

How our managed Zoho TeamInbox service works

Whether you are starting from a forwarding rule or inheriting a shared mailbox nobody understands, the sequence is the same. We get the inboxes and mail routing correct first, then the rules and templates, then the integrations and reporting.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

We set up or migrate your inboxes

We agree which addresses need their own inbox and who should see each one, then configure your domain records and mail routing so messages arrive reliably rather than in spam.

  3. 3

We build the rules, views, and templates

Next come the pieces that make the inbox earn its keep, meaning assignment rules that give every thread an owner on arrival, round robin distribution where load matters, saved views for each role, the tag structure your team will actually apply, response templates for the questions you answer constantly, and automation for out of hours and follow ups.

  4. 4

We connect Zoho and keep it current

From there you get the integrations and the ongoing work, meaning Zoho CRM context beside each thread, Zoho Desk picking up real support cases, Cliq alerts on aging threads, and Analytics reporting.

How Spike works

What Spike does, in their own words

Spike turns email into a conversational, chat-like inbox with team features. Published figures differ across sources, so the ranges below were read in September 2026 and are worth confirming directly.

A genuine free tier existsUnlimited email, conversational view and priority inbox for personal use, with no time limit.
Pro is listed at $5 to $10 a month (September 2026)A directory records Spike Pro at $5 a month covering up to three email addresses, while a pricing tracker lists $10. Confirm which applies before budgeting.
Business is listed around $15 per user a month (September 2026)Adds team features, an admin console and a custom domain.
Students and educators get Pro freeTheir own listing states that plainly, which is unusual and worth knowing if it applies to you.
No ads and no data monetizationTheir published guarantee is that they sell a service rather than your data, which is a real differentiator among free email tools.
Do not confuse it with Spike.shA separate incident management product of a similar name carries its own tiers around $8 and $16 per user, and at least one pricing site mixes the two descriptions together.

See Managed Zoho TeamInbox
What does Cascadia do that Spike leaves to me?

We train your team so nobody is locked out of their own inbox. Nobody should file a request to add a tag or edit a template. We train your team on the views, the routing, and the admin settings, and leave written notes behind for the next hire.

Will our team be locked out of the configuration?

No. Everything lives in a Zoho account registered to your company and your admins keep full access. We train your team on the views, the tags, the templates, and the settings they should manage day to day, and leave written notes for the next hire. You send us the structural work when you want it rather than because we handle.

What counts as a change request?

New inboxes and addresses, routing and assignment rule changes, new views and tags, template updates, automation work, channel connections, and report building all count and are included. There is no ticket allowance and no hourly rate. If something about the inbox is annoying your team, the intended response is to tell us rather than to work around it.

How do you handle response time reporting?

We configure first response time, resolution time, and volume reporting broken down by inbox, channel, and person, then set up the saved views and dashboards your leads will check. Each month you get a written summary showing where the numbers moved, which addresses are growing, and where threads stalled, with recommendations rather than a pile of charts.

Does TeamInbox connect to Zoho CRM and Zoho Desk?

Yes, and we wire both. Zoho CRM puts the contact, company, and deal context beside the thread so whoever replies knows who they are talking to. Zoho Desk picks up conversations that turn into genuine support cases, arriving as tickets with their history attached. We also connect Cliq for alerts and Analytics for reporting alongside your other data.

How long does setup take?

Most organizations are live within two to three weeks. Week one covers the inboxes, teams, permissions, and mail routing, which is the part that depends on your DNS and your current mail provider. Week two covers assignment rules, views, tags, templates, and automation. The integrations and reporting follow, and we train your team before you point customers at anything.

What happens if we cancel?

You keep everything. The Zoho account, the inboxes, the conversation history, the rules, and the templates are all registered to your company, so there is nothing for us to hand back. We remove our access, leave the documentation with you, and help your team or your next provider pick it up. There is no contract term holding you in place.

Do you support teams outside of Zoho for the rest of their stack?

Frequently. Plenty of clients run TeamInbox alongside Microsoft 365 or Google Workspace rather than moving everything at once, and that works fine. We handle the mail routing between them and connect what can be connected. We will also tell you plainly when TeamInbox is the wrong fit and something like Zoho Desk suits your volume better.

What is managed Zoho TeamInbox?

It is an ongoing service where we run your shared inbox for you at a flat monthly rate. We configure the inboxes, routing, assignment rules, views, templates, and automation, connect the channels and the rest of your Zoho account, then keep all of it current as your team changes. You also get monthly reporting on volume and response times, plus unlimited change requests inside the plan.

Is there a setup fee?

No. Configuration, channel connections, routing, migration, and team training are all part of the monthly rate. Most consultancies quote an implementation fee first and a retainer afterward. We fold both together because we are the ones maintaining whatever gets built, which gives us every reason to configure it properly the first time rather than quickly.
