Switching From Trengo To A Team That Runs It

Managed Zoho TeamInbox puts a real shared inbox behind your team and keeps it running. We set up the inboxes, mail routing, channels, and assignment rules, build the views, tags, and templates your team works from, connect Zoho CRM and Zoho Desk so every reply carries context, and report response times every month. It all sits inside the Zoho account your company owns, and your team is trained to run it.

With Cascadia you get

  • Setup is included, not extra
  • Your team trained, not locked out
  • We will say when Desk fits better
  • Migrations that keep your history
  • Your account, your data
  • Connected to the rest of Zoho

The short version

Where a managed service beats running Trengo alone

Templates cover the questions you answer constantly, and they are kept current instead of drifting out of date. Tags stay few enough to be applied consistently by everybody.

What our team takes on

Everybody can see the message, so nobody is responsible for it. Three people read it, each assumes one of the others has it, and the customer waits two days for a reply that was never actually anyone’s job.

We will say when Desk fits better

TeamInbox is right for a lot of teams and wrong for some. Once your volume needs queues, service levels, and a customer portal, Zoho Desk is the better tool.

Migrations that keep your history

Most moves off a distribution list quietly drop the correspondence that made it worth keeping.

Your account, your data

Your inboxes, your conversation history, your customer correspondence, and your Zoho subscription all sit in an account registered to your company. Nothing lives behind an agency login.

Connected to the rest of Zoho

An inbox that cannot see your customer record is just email.

Who this comparison is for

Support and sales sharing one address

When support, sales, and billing all answer from the same handful of addresses, threads get dropped between them.

Teams with no dedicated inbox owner

Somewhere between the office manager and the founder, answering the shared address became nobody’s job.

Teams already paying for Zoho One

TeamInbox is bundled into Zoho One, so plenty of companies are already paying for it and have never opened it.

How our managed Zoho TeamInbox service works

Whether you are starting from a forwarding rule or inheriting a shared mailbox nobody understands, the sequence is the same. We get the inboxes and mail routing correct first, then the rules and templates, then the integrations and reporting.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

We set up or migrate your inboxes

Your existing correspondence comes across where the source allows it, and we test every address before a customer touches it.

  3. 3

We build the rules, views, and templates

Next come the pieces that make the inbox earn its keep, meaning assignment rules that give every thread an owner on arrival, round robin distribution where load matters, saved views for each role, the tag structure your team will actually apply, response templates for the questions you answer constantly, and automation for out of hours and follow ups.

  4. 4

We connect Zoho and keep it current

From there you get the integrations and the ongoing work, meaning Zoho CRM context beside each thread, Zoho Desk picking up real support cases, Cliq alerts on aging threads, and Analytics reporting.

How Trengo works

What Trengo does, in their own words

Trengo bundles seats and a conversation allowance into each plan, so you buy two meters at once. The figures below come from their own pricing page, read in September 2026.

Boost, EUR 299 a month billed annually or EUR 349 month to month (September 2026)Includes 10 users and 6,000 conversations a year, around 500 a month.
Pro, EUR 499 a month billed annually or EUR 599 month to month (September 2026)Includes 20 users and 18,000 conversations a year, around 1,500 a month, with Enterprise quoted above it.
No free plan and no small starter tierA four-person team pays the full Boost price and gets ten seats whether it uses them or not.
A conversation is a 7-day windowAny reply to a customer inside seven days is one conversation. Continue past that and it counts as a new one, which is what decides whether the allowance is generous or tight.
Extra usage is priced separatelyAdditional conversations run about EUR 15 per 100 annually or EUR 18 monthly, extra users about EUR 25 on Boost and EUR 40 on Pro annually, and AI conversations carry a surcharge of about EUR 0.25 to EUR 0.30 each.
Old third-party figures are staleSeveral directories still list Essentials, Boost and Pro at EUR 125, EUR 185 and EUR 310, and older reviews cite EUR 29 or EUR 99. Trengo moved to usage-based pricing in 2024.

Trengo alternative questions

Straight answers about switching, pricing, and what moves with you.

See Managed Zoho TeamInbox
We already use Trengo. What changes here?

What changes is that you get straight advice, including when Zoho Desk fits better. TeamInbox is right for a lot of teams and wrong for some. Once your volume needs queues, service levels, and a customer portal, Zoho Desk is the better tool.

What happens if we cancel?

You keep everything. The Zoho account, the inboxes, the conversation history, the rules, and the templates are all registered to your company, so there is nothing for us to hand back. We remove our access, leave the documentation with you, and help your team or your next provider pick it up. There is no contract term holding you in place.

Do you support teams outside of Zoho for the rest of their stack?

Frequently. Plenty of clients run TeamInbox alongside Microsoft 365 or Google Workspace rather than moving everything at once, and that works fine. We handle the mail routing between them and connect what can be connected. We will also tell you plainly when TeamInbox is the wrong fit and something like Zoho Desk suits your volume better.

What is managed Zoho TeamInbox?

It is an ongoing service where we run your shared inbox for you at a flat monthly rate. We configure the inboxes, routing, assignment rules, views, templates, and automation, connect the channels and the rest of your Zoho account, then keep all of it current as your team changes. You also get monthly reporting on volume and response times, plus unlimited change requests inside the plan.

Is there a setup fee?

No. Configuration, channel connections, routing, migration, and team training are all part of the monthly rate. Most consultancies quote an implementation fee first and a retainer afterward. We fold both together because we are the ones maintaining whatever gets built, which gives us every reason to configure it properly the first time rather than quickly.

Do we need Zoho One, or just TeamInbox?

Either works. TeamInbox has its own standalone plan, and it is also bundled into Zoho One. If you already pay for Zoho One you almost certainly have TeamInbox included and may not have opened it. If you run three or more Zoho apps, Zoho One usually costs less than stacking separate subscriptions, and we will tell you when that crossover point arrives.

How is this different from a shared mailbox in Outlook or Google Groups?

A distribution list copies mail to several people and hopes somebody replies. There is no owner, no status, no internal discussion, and no way to tell what was answered. TeamInbox gives each thread an assignee and a state, keeps internal notes attached to the conversation, shows when a colleague is already typing, and reports on how long replies actually take.

Can you migrate us off Google Groups, Outlook, Front, or Help Scout?

Yes, and migration is included. We map your existing group addresses and shared mailboxes onto TeamInbox, bring across the archive where the source platform allows it, carry over your users and their access, and rebuild your routing and tags. The old mailbox stays reachable until your team has signed off on the new setup, so nothing is cut over blind.

Which channels besides email can you connect?

TeamInbox handles email plus the messaging channels your customers actually use, including WhatsApp Business, Instagram, and Telegram, alongside your shared addresses. We connect the ones relevant to you and set the routing so a customer who emails on Monday and messages on Thursday does not end up as two unconnected conversations owned by two different people.

How many shared inboxes can we have?

As many as your organization needs. The monthly rate is per organization, not per inbox or per user, so adding support, sales, billing, careers, and a partner address costs the same as running one. That matters, because most teams start with a single inbox and discover within a quarter that they need three or four.
