Citrix ShareFile alternative

The Managed Way To Replace Citrix ShareFile

Managed Zoho WorkDrive puts every company file in shared Team Folders that belong to the business rather than to whoever created them. We migrate you off Google Drive, Dropbox, SharePoint, or your file server, design the folder structure and permissions, roll out TrueSync to desktops and phones, and keep sharing, storage, and retention under review every month. It runs inside the Zoho account your company owns.

With Cascadia you get

  • Migration is included, not extra
  • Your team trained, not confused
  • We will say when WorkDrive is wrong
  • Structure designed before anything moves
  • Your account, your data
  • Connected to the rest of Zoho

The short version

Why teams pick Cascadia over Citrix ShareFile

File storage is where a company’s access decisions go to be forgotten. A folder gets shared with a contractor for one project, the project ends, and the share stays exactly where it was.

Where the service earns its keep

A folder gets shared with a contractor for one project, the project ends, and the share stays exactly where it was. Multiply that by three years and nobody can tell you who outside the business can currently read what.

Structure designed before anything moves

Most shared drives become one flat pile of folders within a quarter, because the structure was never decided.

Your account, your data

Your WorkDrive organization, your files, your version history, and your Zoho subscription all sit in an account registered to your company. Nothing lives behind an agency login, and we hold no copy of your data.

Connected to the rest of Zoho

A file system your directory cannot see is another user list to maintain by hand.

Migration is included, not extra

We fold both into one monthly rate with no separate setup charge. That puts the incentive on us to migrate cleanly the first time, because we are the ones who live with the folder structure afterward.

Who this comparison is for

Teams already paying for Zoho One

WorkDrive is included in Zoho One with storage, so plenty of companies are already paying for it and have never opened it.

Teams still working from a shared drive

If your files live on a mapped network drive, three personal Google accounts, and a Dropbox somebody set up in 2019, this is the common cleanup.

Businesses facing an audit or security questionnaire

When a client or an auditor asks how you control access to documents, a shared folder link is not an answer.

How our managed Zoho WorkDrive service works

Whether you are starting from a network drive nobody has tidied since 2018 or moving off Google Drive, the sequence is the same. We get the structure right first, then the sync and integrations, then the reporting.

  1. 1

    We assess your current setup

First we look at how things run today: what you already pay for, what is configured where, and which parts are actually causing you trouble.

  2. 2

We design the structure and migrate your files

We start with what you have, whether that is a network drive, Google Drive, Dropbox, SharePoint, or all of them at once.

  3. 3

We roll out TrueSync and connect your Zoho stack

Next come the pieces that make the file system hold up, meaning TrueSync on Windows and Mac, the iOS and Android apps, directory sync with Zoho Directory, Active Directory, Microsoft Entra ID, Okta, or Google Workspace, single sign on, enforced two factor, external sharing and link policies, and retention rules.

  4. 4

We keep access clean as you grow

From there you get the ongoing work, meaning new user provisioning, offboarding and file ownership transfers, permission and sharing changes, monthly storage and external access reviews, audit exports when somebody asks for them, and a written summary of who can reach what.

How ShareFile works

What ShareFile does, in their own words

ShareFile, formerly Citrix ShareFile and now owned by Progress Software, prices per user with a minimum seat count on every tier. The figures below were read in September 2026.

Advanced, $18.15 per user a month or $16.50 annually (September 2026)Encrypted storage and sharing, secure email integrations, real-time co-editing and granular access controls. Minimum three users.
Premium, $28.60 per user a month or $26 annually (September 2026)Adds client collaboration, e-signature, workflow automation and HIPAA, FINRA and SEC compliance. Minimum three users.
Industry Advantage, $45.83 per user a month or $41.67 annually (September 2026)Accounting-specific templates, bulk client onboarding and tax workflow automation.
Virtual Data Room, $77 per user a month or $69.30 annually (September 2026)Five-user minimum, so a deal room starts around $385 a month before anyone is added.
Every tier has a seat minimumThree users on the lower three tiers and five on the data room, so the entry cost is about $50 a month on annual billing, not $16.50.
No free planA 30-day trial is available across plans, but there is no permanently free tier.

Citrix ShareFile alternative questions

Straight answers about switching, pricing, and what moves with you.

See Managed Zoho WorkDrive
We already use Citrix ShareFile. What changes here?

What changes is that the structure gets designed before anything moves. Most shared drives become one flat pile of folders within a quarter, because the structure was never decided. We map Team Folders, subfolders, and permission levels to how your teams actually work before the first file moves, so access is granted by role from day one instead of being untangled a year later.

What is the difference between Team Folders and My Folders?

My Folders is personal space tied to one user account. A Team Folder belongs to the organization, so membership, roles, and ownership sit with the company. Anything the business depends on belongs in a Team Folder. When the person who built it leaves, the files stay exactly where they are and nobody has to recover them from a deactivated account.

Does WorkDrive work offline and sync to the desktop?

Yes. TrueSync puts WorkDrive on the desktop as a mapped drive on Windows and a mounted volume on Mac, so files open from File Explorer or Finder the way a network drive does. Content streams on demand instead of downloading everything, and you can mark specific folders for offline access. The iOS and Android apps cover phones and tablets. One limitation to plan around: TrueSync is not available to client users, who work in the browser.

Can we share files with clients who do not use Zoho?

Yes. External collaborators can be given guest access scoped to a single folder without needing a paid seat, or you can send a share link. We set the organization policy for links, covering password protection, expiry dates, and download limits, then review the external user list every month so contractors do not keep access long after a project finishes.

What happens when someone leaves the company?

Their access goes the day they leave. Team Folder content stays where it is, and anything in their private space transfers to a named owner before the account is deactivated. We write this into an offboarding runbook so it happens the same way every time.

Can we recover a deleted file?

Almost always. Deleted files sit in trash for a configured period, and administrators can restore content a user has already emptied. Version history rolls a file back to an earlier state, which matters more often than deletion does, because the usual problem is somebody overwriting a document. We test a restore during setup.

How does WorkDrive compare to Google Drive or Dropbox?

WorkDrive is closer to Google Drive with shared drives than to consumer Dropbox. The real differences are in control: the Team Folder permission model is more granular, and the external sharing defaults are tighter. Google Workspace has broader third party app support, and that is a fair reason to stay where you are. Pricing depends on your seat count and plan tier, so we run that comparison against your actual numbers instead of quoting a headline figure. If you already pay for Zoho One, WorkDrive is in there.

Who owns the WorkDrive account and the files in it?

You do. The WorkDrive organization, the files, the version history, and the Zoho subscription sit in an account registered to your company, with your people as administrators. We work inside your account. Nothing needs handing back, because it was never anywhere else.

Should we get Zoho WorkDrive on its own or take Zoho One?

It depends how much Zoho you run. If WorkDrive is the only app you need, the standalone plan is the cheaper answer. Once you are using three or four apps, meaning CRM, Mail, Books, Desk, and the rest, Zoho One usually costs less than the separate subscriptions and includes WorkDrive storage. We will run that comparison against your actual app list.

What is managed Zoho WorkDrive?

We run your file system at a flat monthly rate. That covers the initial workspace and Team Folder build, migration from whatever you use now, TrueSync rollout to desktops and phones, permission design, external sharing controls, retention and recovery settings, and the ongoing work of adding people and adjusting access as the company grows.
