What is the best help desk software for a small business?

There is no answer that survives contact with your own ticket volume. What separates these four is the shape of the meter and where the ceiling sits. Zendesk charges per agent and puts the omnichannel features behind the fifty five dollar Suite rather than the nineteen dollar ticketing plan. Freshdesk matches those two prices almost exactly and includes five hundred AI sessions. Intercom charges per seat and again per AI resolution, so the bill follows demand rather than headcount. Help Scout is cheapest for small teams and caps Standard at twenty five users. Pick the ceiling you are least likely to hit.

How does a help desk decision go wrong?

Rarely on the software. It goes wrong on the configuration, which nobody quotes for. The platform gets bought, the support address gets forwarded in, and nine months later there are thirty automations nobody can explain and a satisfaction score somebody’s learned to ignore. The subscription bills the whole time. Ask who is building the queues and the routing before you ask what a seat costs.

Who owns the account if you set it up for us?

You do, and it is not a clause we negotiated. The Zoho account is in your name and billed to you, we do not resell the licenses, and every queue, automation, reply template and help center article we build stays inside it. Stop paying us and nothing switches off. A subscription cannot say that, because there the software is what stops.

Is it cheaper to just subscribe to one of these?

For a small team, yes, and we would rather say it here than argue around it. Help Scout is free for five users and Freshdesk Growth is nineteen dollars an agent against our seven hundred. What none of those figures covers is somebody designing the queues, writing the help center, tuning the automations every month and noticing when a channel fails, which on their side is either your support lead evenings or a consultant billed separately.

Which of these platforms publishes a price you can forecast?

All four publish something, though one of them publishes two numbers that multiply together. Zendesk lists nineteen, fifty five and one hundred and fifteen per agent paid yearly, with Enterprise quoted on request. Freshdesk lists nineteen, fifty five and eighty nine. Help Scout lists twenty five, forty five and seventy five. Intercom lists twenty nine, eighty five and one hundred and thirty two per seat and then charges from ninety nine cents per AI resolution on top, which is the figure you cannot forecast from a pricing page.

What happens when something breaks after go live?

On a subscription the software is supported and the configuration is not, and almost everything that goes wrong is configuration. An automation closing tickets before anyone has read them is not a bug their own support team can fix. Here it is one company and one number, fixes sit inside the fee rather than being quoted for, and when Zoho ships a change that breaks a workflow you depend on, that is our problem before it is yours.

Do we have to move everything at once?

No, and most people should not. The usual order is one channel first, normally email, with the queues and the routing built around it before anything else is pointed at the new system. Chat and the help center follow once that is steady. Historic tickets can be imported or left readable in the old system for a quarter, and leaving them is more common than people expect. Moving every channel on the same Monday is how a support team loses a week.

Can you take over a Zoho Desk somebody else set up?

Often, and it is real work rather than a tidy up. We read the queues, the assignment rules, the SLA policies, the automations nobody remembers writing and the help center articles nobody has opened in a year, then say plainly what is worth keeping. Occasionally the honest answer is a clean configuration built alongside the old one and switched over once it is right.

How long before the desk actually runs itself?

Four to eight weeks for most teams, and longer where several channels and a large help center are in scope. Channels come first, then routing and the response targets, then the content that removes volume. Configuration starts the week we begin, not after a discovery phase that bills separately. What people notice first is rarely the software. It is that nobody is asking who picked up the ticket from Friday.

We already have a support lead. What is left for you?

Quite possibly nothing, and that is a fine answer. A good support lead who owns the queue is most of this. Where we tend to be useful alongside one is the parts that are not answering tickets: the routing logic, the response target design, the integrations into whatever the customer actually bought, the reporting that answers the questions the owner keeps asking, and the automations nobody has time to maintain. Plenty of clients keep their support lead and hire us for the system around them.

When should you not hire us for this?

Two cases, and both are common. If two people answer a handful of emails a day out of a shared inbox, Freshdesk is free at that size and genuinely sufficient, and we will say so. If the real problem is that the product keeps generating the same complaint, a better help desk measures that complaint more precisely and changes nothing else about it.

What if the software is not our real problem?

We will say so before taking your money, and the fit review costs nothing. Tickets that go unanswered are usually unanswered because nobody owns them, not because the software is slow. A fair number of these conversations end with one person made responsible, an agreed response target, and no new software at all.

What does this actually cost through you?

One flat monthly rate of seven hundred dollars, listed on the managed Zoho Desk page. It covers ticket channels, SLA and escalation rules, automation, help center and knowledge base content, reporting, and integrations with the rest of your Zoho apps. Your Zoho licenses sit outside that and are billed to you by Zoho, because we do not resell them. Nothing in our figure moves when you add an agent.

What happens if we want to leave?

Thirty days’ notice ends it and nothing is stranded. The Zoho account, the ticket history and the help center were always yours and always billed to you, so there is no migration and nothing to hand back. What stops is us. The desk carries on exactly as it was the day before, which for a live support queue is the only acceptable answer.
